Urgent: AI-Powered Flow Mixing Up Data Across Multiple Documents—Immediate Fix Needed!

Super frustrating error preventing me from being able to push the flow to production.

Error occurs when processing multiple documents sequentially. I understand the AI can only handle one document at a time and have set the concurrency control in my loops to 1 to try and mitigate issues like this.

Can't turn off "Asynchronous Pattern" without the flow breaking. It's so close to being able to be deployed, just need this sorted out. All suggestions are welcome!

In the screenshot from excel, you can see the AI correctly pulling some data from the different documents but fails to separate them. The error doesn't happen all the time, only when multiple documents are uploaded at once.

Hi @Mr_Ian1 ,

Can you elaborate a bit how data between documents is mixed in your case?

If you do all your logic sequentially, instead of creating 2 branches (as we can see in your second image), do you also get this issue?

Ran a test removing the branching actions and the issue persists.

Looking at my excel sheet, the outputs below the highlighted rows are after the change was made. The issue is most easy to see in the blue table. Where the "Timestamp" (actually document-stamp) and "UniqueID" changes but the data remains the same.

Any other suggestions to solve the issue? I've added a few delays throughout the flow in hopes of it being a time issue, but that doesn't seem to make any difference.

Thanks for the details.

Are the timestamps generated inside your flow? If it's the case, can you click on your flow run in your flow run history, to check if the same file isn't processed twice somehow? The flow shouldn't mix your data in Excel (normally).

The "Timestamp"(actually file name) is the "Name without file extension" dynamic content from List files in folder. The GUID has the actual timestamp, which is taken at the time its processed.

To test the flow, I uploaded two files. This caused the flow to run two times. Each time the flow ran, it processed the same file twice. Causing it to throw an error once it got to the move files step, as the flow had already moved the file its trying to move again. But cant, because overwrite is turned off.

I dont understand why its confusing the content in the first place. Let me know what you need to try and diagnose. Happy to provide.

Dont know why it shows me as a different user, but that is me

Hi @Mr_Ian1 ,

Looking again at your first screenshots, I saw something that could explain the issue: you are using the trigger "When a file is created" and after "List files in folder". This means that each time you upload a file, the flow will get triggered and will browse all the files  in your folder, causing possibly the same file being processed twice.

If you just need to process new incoming files, using the trigger "When a file is created" should be sufficient. Try it in a new simple flow to check if it works.

Trying to do as you suggested but run into an error with the data being an "Object" instead of an array like it wants. Would creating a variable for every excel box I want to input fix this?

I tried making the flow even simpler by getting rid of the loop entirely, but PowerAutomate automatically adds it in for the second table. Don't know if that would have any impact or not.

Thanks for the help hope to get this figured out asap.

OK so update, the functions I copied over were creating issues. This flow works, but doesnt run through all the files in the folder like I want.

Do you think putting the flow on a timer to run every min or so fix this issue? Thanks again!

If you want to go through all the files of your folder regularly, you shouldn't use the "When a file is created" trigger but the "Recurrence" trigger and then list the files in your flow to process them. However if you rename them, make sure to move them in a different folder or may have files processed several times.
