Adding Item to Sharepoint List with a twist

I am trying to write a flow "for selected item" in SharePoint list which creates a new item in a different SharePoint list. This new list item should have some of the data from the original item or even better a link to the original item.

I've added the "for selected Item" trigger. I've tried any number of combinations of downstream steps but keep getting impenetrable error messages about Gateways or GUIDs.

Is there a template flow for this I can use?

Hi @TobyFish, you are indeed on the right track.

Please see below:Capture-089.pngAfter "For a selected Item", use "Get Item(s)" from the same list, then use the "create item" to populate the second list and use dynamic data from list 1 to populate the field in list 2 that you are referring to.

Hi @TobyFish

Can you post a pic of the error you are getting please?

Can you please post some more detail on the actual Flow?

Whilst there may (or may not be a template) for this it would be helpful to see some additional information.

In order to assist the community please see this link

Thanks, Alan

I've had about 30 attempts at building this from scratch. A different way each time. the truth is what I need is to know what steps I should include in a flow to do this because I am just firing blind. I could show you a handful of my attempted designs and a handful of the errors, but really I need to know what flow steps I should be using... do I need "Get Entities" for example? or "Get Item". It's all pretty opaque for what is supposed to be a simple, code-free language 🙂

Simplest flow I have tried is

Hi @TobyFish.

Error: Invalid URL: 1 looks to indicate you'd need to reconnect the site & library or it doesn't exist.

I will try and recreate this request and post back ...

I wasn't clear at first (hence my post edit) but now I am thinking the below.

You have 2 SharePoint Lists, both in diferent sites.

When one list is upadted with a new entry, you want this to trigger the creation of a new entry in the 2nd list in the other site.

Does that sound about right?

Thanks, Alan

Pretty close, except

1. both lists are in the same library

2. I don't want it to happen "on create" as I don't want it to happen until the user is happy to proceed. So at the moment they select an iem then select to run the flow. although once it's working I have code to insert a button in the list item to fire the flow

Hi @TobyFish

Are you now saying, the user will run this Flow manually themselves when the list item is to their satisfaction?

Hi @TobyFish

Based on the user running the Flow themselves, the following works for me:

Note: This won't address your reported error where it looks like the connection is not correct so I would advise recreating the connections to both SharePoint sites/lists.

Flow

Note: Your list will have diferent values but this suits a list I use for testing.

I run the Flow manually and it creates the following:Capture-082.png

Thanks Alan

Looks like I was on the right track.

Two questions.

1. You seem to be adding to the same list as the original item. I wanted to add to a separate list

2. I don't get any fields listed in my dialogue for create item.

I'll have a poke about

Yay! I found a new error!

@TobyFish ... getting there.

Please see my last post referencing use of "Get Item(s)" before "Create Item"

Thanks, Alan

Brilliant, thanks.

This, of course, has opened up another bunch of queries to solve.

1. Why does SharePoint append the word "claims" to the names of any person column titles when trying to copy them across to the new list item

2. Why don't person fields appear to be insertable

3. How do I dynamically build a hyperlink back to the original list item

🙂

But at least now I know the basic operation is possible I can fix all those!
