Amend Sharepoint List

Hi

We have a flow that when staff fill out a Microsoft Form to request a new member of staff, it goes through a linear approval and then goes into a sharepoint list. All working fine. Once they have received approval from all 3 approvers they can go out to recuitment.

 

Is there then a way, that once they have recruited, and have the name of the person who is starting, they can add the name to the sharepoint list? They don't have access to the list so would need some way of a Microsoft Form / Powerapp connecting to the data and amending the correct record

You are identifying the requester ID via Forms, right?

...and the same requester Id shall be the one adding the name of the new employee to the SP list, right? Will the name be stored in a text type column or a person type column?

Also, when you mention they do not have access to the SP List, you mean they do not have access to the SP site in general? Or they already have access to the site, but due to confidentiality reasons you do not allow them access to this specific list?

 

Finally, please do not consider only Power Apps but also Adaptive Cards

Thanks for having a look into it for me

When they create the initial request via Forms, it creates a request ID in the sharepoint list. This ID is used throughout the flow when the approvals come in. This is just a random generated number though.

 

Correct, though in that it will be the same user that will then add the name of the person, once they've recruited.  The name will be a text type column but they will also need to add address etc.

 

Correct, for confidentiality they don't have access to the list but have access sharepoint site.

If they have access to the Sharepoint site, why don't you build a second sharepoint list (RequestId- NewEmployeeName), so PA Flow would add a new item everytime you receive a new forms response? This new item would store the Request Id, and once created your Flow can grant permissions to the Requester so they can update it in the future by adding New Employee name.

Then you just need to deploy a second flow that would monitor everytime an item is modified in this new list
