Any help will be greatly appreciated.
The situation: I have a sharepoint site, that has multiple "project folders". Within these "project folders", there are additional folders, let's call them "protocol folders". A user, when creating a new protocol, will create a "protocol folder" with a unique number, within their associated "project folder" and will upload multiple documents (word files, pdfs etc.) . Once ready, the user would like to send out the contents of the specific "protocol folder" for approval from 3 different reviewers (including manager).
Problem: I've been searching hard, but cannot find a solution that allows the user to start an approval flow for their particular "protocol folder". Due to the contents associated, it is imperative that the entire protocol folder be approved and not just individual files within the folder.
As I stated earlier, any help on this topic will be greatly appreicated.
I don't think you will find a way to do an approval on a folder at this point. The workaround I've used in the past (in traditional SharePoint workflows) has been to have a listitem that actually manages the approval process and have one of the fields in that list be a URL that links to the particular folder being approved.
thanks for the quick response @Pstork1 .
I'm a bit of a noob at this. Could you please guide me to a tutorial on:
- how to setup my sharepoint site appropriately
- linking the approval flow (as per your suggestion/work around)
Really appreciate your help on this.
There really isn't a lot of setup. Its essentially just an approval of a list item in a custom list. But the custom list includes a column that has a URL that links to the Folder. No specific way to automate it. YOu dould do a Flow that creates the list item automatically when the Folder is created, but I suspec you really want the approval to start when the last document is added to the Folder and there is no automated trigger for that. So create a list to track the approval status of the folders and then when a user finishes adding documents to the "protocal folder" tell them to create an item in the list. That can be set to kick off the approval.
Hi @kshah52 ,
Could you provide more explanation about "will upload multiple documents (word files, pdfs etc.) . Once ready"?
This is related to which one of the triggers we need to use to configure Flow.
