Approval status visible on document

Hi, 

I am working on a document approval process whereby a document can have several revisions and approvals plus multiple people approving the document. Ideally the team would like to show the stages of approval on the document including name, date, and status - they have used docusign previously but want to move away from this to use Flow. 

 

Does anyone know if this is possible? I have looked but can't see anything that would put approval status on the document. If confirmed that this is not possible I will move to the uservoice 🙂

You'll probably want to create your own document approval status column and add it to the list.  It will likely be a choice column with a choice for each stage of your approval process.

 

In addition, it sounds like you want to use a sequential approval concept.  Documentation on how to set this up can be found here.

 

You can set your custom approval status column after each approval has been completed.

 

To log the history, consider using a multiline text column.  You can append text to the content already in the multiline text column with the required information after each approval takes place as well.  Alternatively, have a text column for each approval stage and and add content after each action.

 

If you want, you can set the "out of the box" content approval" after all approvals are complete.

Hi @ScottShearer 

 

What you are suggesting I have used previously for approval workflows but what I want to do this time is to record the approval of the document on the actual document itself. I don't want to have a separate table which will need to be referred to, to check if the document is approved or not. 

 

FYI - the documents being approved are sensitive so there needs to be a way to lock them down to protect and give comfort to the content and also if we have the approval status on the document people will always know what they are looking at has been approved. 

 

No idea if this is possible with Flow hence posting in here to get feedback/comment but looks like it may have to be recommendation for the uservoice forum.
