Approval type "Everyone must approve" - does it work sequentially?

Hi, in my Flow I have a "Start and wait for an approval" action which goes to a group of three managers the names of which come from an AD "Get Group Members" action earlier.

Lets call them

  • Approver1
  • Approver2
  • Approver3

The Approval Flow runs but what seems to happen is that the approval email goes like this:

  • 1. it only goes to Approver1. If he approves it
  • then
  • 2. the approval email goes to Approver2 and if he approves it:
  • 3. the approval email goes to Approver 3

 

Is this the default behaviour? I thought the email would go to all approvers at once but maybe im wrong...

That is not the default behavior.  For a single approval action and everyone must approve the approvals are sent in parallel the last time I checked.  I'll check again and report back.

YOu don't actually set the value of the variable in the Initialize variable action for this one.  YOu are just declaring the variable because you can't declare it (initialize it) inside a loop.  When you add the members to the Append step it will put a loop around that.  That's where you wnat the loop.

That is not the default behavior.  For a single approval action and everyone must approve the approvals are sent in parallel the last time I checked.  I'll check again and report back.

I just ran a simple approval set for "Everyone must Approve" in my tenant and assigned it to three different users.  I verified that it sends the request to all three users in parallel.  Here's a screenshot of my Flow.  Could you post a diagram of your Flow so we can figure out why yours isn't running in parallel.

Here is how my Flow looks if it helps:

I see the issue.  You are sending out the approval using a Loop to loop through Group members.  This is sending one approval per user rather than one approval for all users.  Here's how to fix it.

1) Initialize a string variable to hold the approver email addresses.

2) Inside your Loop Append each group member's email and a semicolon to the string variable

3) Move your approval action outside the loop and set the assigned property equal to the string variable you've created.

 

That will send one approval out to all the users whose emails are in the semicolon delimited list in the variable.

Thanks Paul, this is making my brain melt. I get errors ahen I try and save the flow now.

I think I will have to just put the approvers email addreses in manually. Its not as if the group is large or frequently changing. I wanted to just pull the addresses from the group but I think the effort involved in making this work is not really worth it.

I wish Microsoft would make it easier to send an approval flow to those in an AD group.

Right now sending approvals to either Distribution lists or groups isn't possible.  But its really not that difficult to pull each member out of the group and append their email to a semicolon delimited string.

Yes but its not so easy for me! But I would like to get this right.

I need to go from the basics.

I can initialize a variable easily enough but have I done it right here?

So that all looks right with a couple minor issues.  The list of emails you pass has to be semicolon delimited. so you need to add '; ' after the 'Group Members Mail' dynamic content when appending the emails to the string.  just type a ; after that item in the Value textbox. Also, you have to initialize the variable as empty outside the loop and then set the variable inside the loop.

OK that makes sense so I tried it  but when I create the Variable I get a "for each" container added which Flow rejects with this error:

The variable action 'Initialize_variable' of type 'InitializeVariable' cannot be nested in an action of type 'Apply_to_each'.

how do I stop that?

As I mentioned in my previous reply.  You need to initialize the variable outside the loop.  and then use the Append to string variable action inside the loop.

But the problem is Flows adds the "Apply to each" loop around the Initialize Variable step automatically.

How do I stop that?

For the record this is how I have configured it, note the VERY IMPORTANT semi colon, without that it fails...
