Attach document to existing Sharepoint list Item based on document name

Hi, 


I am struggling to figure out how I can achieve the below. Any help would be appreciated. ‘phase 3’ below is where I am stuck.

 

I am using power apps for users to submit a form. Once the user completes the power apps form it outputs the values into a PDF template to be signed. As well as outputting to a PDF the data is stored in a Sharepoint list. I am using the Sharepoint list ID to name the PDF e.g. 00001_test.pdf

 

when the pdf is signed the user uploads it to a document library. 

Im trying to get that pdf document to be attached back to the original Sharepoint list item and update a status column to ‘signed and complete’

 

It will look like this:

phase1

1. user submits form

2. data saved to Sharepoint list

3. Pdf document is created based on the values in the form. the document title contains the list ID. 

phase 2 

1. the pdf is signed 

2. user uploads the pdf to a document library

 

phase 3 ( this is where I’m stuck)


When a document is uploaded, get the list ID ‘0001’ from ‘0001_test.pdf’

 

upload the pdf document to the corresponding existing list item with ID 0001

 

when the attachment is uploaded that specifically contains the list ID in the title, update column x with a status of ‘signed and complete’

Do you want to add the pdf file as an attachment to this item after the file is created in document library, then update the status of column x to ‘signed and complete’?

You can add Add attachment action after creating the file in document library, add the pdf file as the attachment of the item, and then update the status of column x to ‘signed and complete’.

if there are multiple files in the same document library how would you achieve attaching the correct file to the correct list item. 

the file names will have the list ID in e.g. 

 

01_test.pdf

22_test.pdf

Do you want to trigger Flow when a file is uploaded and add this file to the existing item as attachment?

If yes, you can refer these below screenshots.

Suppose I have a folder named Test12.1 to store uploaded files.

Add Get items action and fill filter query field to get the Item with the same ID as the ID in the file name.

Expression:

first(split(triggerOutputs()?['body/{FilenameWithExtension}'],'_'))

When a file name contains item ID 6 is uploaded, the file will be added as an attachment to this item and the status column will be updated to 'signed and complete'.

Hope you are doing well. I've used your above example and it works great, the flow runs, the pdf document is attached to the SharePoint list item. However I'm running into an issue because when trying to open the PDF from the SharePoint List it states, "Failed to load PDF document". Have you possibly run into the same issue, and if so do you have a possible solution for this?

Summer of Solutions | Week 4 Results | Results posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
