Automatic onboarding guest users in Azure

Hi! 

 

I would like to start by saying that I am rather new to this. I have been scratching my head for a while and browsing all sorts of forums and I usually end up on posts from a couple of years ago which means that everything has changed 2-3 times and are no longer the same...

 

Background is that we have a Sharepoint intranet that gathers information relevant for over 50 companies and new ones are added (bought) rather frequently. These companies are NOT in the same tenant and therefore all of the employees needs to be invited and I cannot keep manually adding all these users. So naturally, I want to create an automatic onboarding process for guests where the employees themselves fills out a form and gets accepted. Best case scenario is that I also can create a rule where only whitelisted domains gets onboarded where any other domain gets rejected.

 

The flow should look something like this:

- User submits a form containing only "Email" and "Display Name" as in Azure.

- If the domain is whitelisted, a guest object is created with the details from the form. I have a dynamic group that will take care of the permissions as long as the object is created.

- If the domain is not whitelisted, the request gets rejected and the flow stops.

- The user is then permitted to access the intranet

 

From what I have read, you can create a flow based on forms, Microsoft Graph and AD Connect. The problem is that I have zero understanding regarding the interaction with Graph and cannot find any good documents regarding the setup. 

 

I appreciate any help I can get with this!!

Here you have an excellent blog post on how to do this: Self-service Microsoft Form for external guests to use Power App — John Liu .NET You can get rid of the Power App section.

 

Where are you string whitelisted domains? In a SharePoint list? Therefore, before creating the user, you should check for the right part of the email address (after the @ symbol) and check it out.

Where are you string whitelisted domains? In a SharePoint list? Therefore, before creating the user, you should check for the right part of the email address (after the @ symbol) and check it out.

Thank you for your answer! I have gotten rather far with the flow and I can now submit a form and the user is then created in Azure! Really cool. However, the last step is to make it so the flow checks the Allowed Domains from the specific Sharepoint Site. I cannot find a native way of doing this in Power Automate and a couple of threads (and copilot) says it's not implemented yet. But since you mentioned it, do you have any tips here? 

 

There are over 50 domains in this list that needs to be checked for.

You need to Get items from this SharePoint:

now you need to do a text operation of compose to cut everything before @ -> together with @ sign, I suggest to use:

of course change outputs('Compose') to your dynamic value.

 

Now I am able to run the flow and check:

As you can see, the above function works properly as we get the domain name.

 

Now it should be enough to provide a condtion:

of course change Email to domain; the example above works. This action will add apply to each - do not worry, it will be fine.

 

BTW this type of condition should also work:

and if yes -> run the next actions, if condition not met -> deny sharing, inform by email etc.

Hi @Arvid_L 

As mentioned, you can use a SharePoint list to store allowed domains. 

You can get the domain using expressions mentioned by @cmht and then check whether it exists in the SharePoint list or not (check number of items):

I am sorry but I don't quite follow your answer... 

 

I have created a list in Sharepoint and removed every permission except for the owner so that all of the 1400+ people cannot see all the domains or even access the list.

 

Tried your example with below and get "Unable to process template language expressions in action 'Cut_text' inputs at line '0' and column '0': 'The template language function 'split' expects its first parameter to be of type string. The provided value is of type 'Object'. Please see https://aka.ms/logicexpressions#split for usage details.'."

 

I assume that I used the wrong dynamic value?

Tried using copilot but it changed the condition to this which doesn't work.

Without the "cut text" I reach a new problem. I receive the, very long, error message: 

"Unable to process template language expressions for action 'Condition' at line '0' and column '0': 'The template language function 'contains' expects its first argument 'collection' to be a dictionary (object), an array or a string. The provided value is of type 'Null'.'."

Hi @Arvid_L 

You are using your compose "cut text" on an array while it rerquires string (text) value.

You need to do it on a single value, so for each action should be applied. (you should do it for item/value and not for outputs).

Generally, outputs for compose is just text.

You should use something like:

outputs('Get_items')?[0]

 

So here how I would do this:

of course code for compose action - you need to change to your action and field named domain:

last(split(item()?['Email']))

 item - this is getting the currently processed item.

 

so for all entries you get the domain name, you also check in codition if domain contains output from compose action.

Please note I did a mistake previously: of course compose you do on a ['Email'], not domain. -> and this is output from your form.

Domain in condition should be field from SharePoint.
