Check for file properties until item is modified in SHarePoint

Hello all,

 

I'm having some trouble building a flow. The flow is triggered when an item is created then sends out an email to notify a group that the item has been created with a link to the created item. Then, the user is supposed to modify the item. When the item is modified, I would like the same flow to check for modifications and when 2 specific fields are checked, send out another email. 

 

Is it possible to make the flow continue to run, checking for modifications, then send out an email when a modification is detected? Would I be able to utilize the "Do Until" action check for modifications until a specific field is marked true? 

 

Please advise.

In your current trigger the flow is already triggered when an Item is created. So you can't use the do until because the value of  Fund Account in APX and Upload APX Account Appraisal checkbox fields are false at this stage. Yes behind the scene user might have updated to true but flow doesn't know the change yet. 

 

Steps 1 to 4 is fine. Rest of the logic you have two options:

 

Solution 1

 

Create another flow when I item is modified and set the trigger condition. You may need another new field in that list called 'Email Sent for FundAC and APX Account uploads'. Once the email send you can set this to true. Add the new field also in the trigger condition so that it won't trigger again for further updates.

Solution 2

 

Create a new flow - Scheduled trigger. Here check for both upload flags and that new field which  mentioned above step is false. Then send email. Once email send the update new flag to Yes so that in next scheduled run it won't pick it up again.

Hi @owertz 

 

You title says when a file is modified and the description says item is created. Its a bit misleading this. Could you please confirm whether its a list item or a particular file is created or modified? Also explain about the 2 specific fields are checked? You mean two fields are updated? Please explain with an example as it would help others easier to understand.

@abm Sorry for the confusion. 

 

In this case, it is actually both. The flow originally triggers when a file is created. I would like to add a step that allows for the flow to check the same item's properties until the item is modified. 

Here is what my current flow looks like:

This is what I want to happen:

  1. Person A creates SharePoint List Item A.
  2. Flow initiates.
  3. Flow checks for Account Setup Materials field in List Item A to be equal to New Account E-Form
  4. Email is sent to Person B if field is true.
  5. Person B A modifies List Item A. 
  6. Flow checks for modifications to List 
    1. Specifically, checking to see that the Fund Account in APX and Upload APX Account Appraisal checkbox fields are set to True.
  7. When modification is detected, email is sent to Person C.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
