Create a Flow to copy tasks in bucket recurring weekly

Hi everyone,

 

We have a Team with all of our consulting associates. Each week, the consultants are assigned a task to enter their weekly project updates into a spreadsheet in that Team. Once they have done this, they mark their task as completed under that week's bucket. These are due by the end of day on Friday. The following Monday, I copy each of the tasks under last week's bucket and copy them to the current week's bucket, which can be time consuming. 

 

I am looking to create a Flow that would allow me to copy all of the tasks from last week's bucket to the current week's bucket. I am also wondering if it would be possible to send each of the associates a reminder/alert when their task is copied into the current week's bucket. Would it also be possible for me to receive an email/notification every time an associate marks their task as completed?

Hi @tavazpour 

 

Assuming that you are using Microsoft Planner for the tasks, 

 

You can use the when a task is completed trigger for the flow and add an action to send an email. For the copying of the tasks, you can use the recurrence trigger and set it to run every Monday at a given time stamp and use the action, list tasks and add a control -> apply to each task and then within the loop add a create a task action and configure it accordingly.

Thank you for your reply! I am fairly new to Teams...would you mind walking me through this process? I understand what you mean, I am just not totally sure on the process to execute this.

Can you share details on what tool you are using to track the tasks? Is it Microsoft Planner?

When a task has a checklist of three items and multiple assigned users.

Using this flow will separate the task in multiple tasks.

Per item and user!

Resulting 9 different tasks losing items on the checklist.

 

This flow only works for single user task with no checklists.

Hopefully this will get updated in the near future?
