Different Emails from Same Excel

Hi there, still learning Power Automate, it seems to be the best way to get this task done.

 

I've got an Excel sheet with a bunch of sales contacts collected in there. Each row has the contacts name, email, as well as two or three CC'd contacts from our company. I can handle most of that.

 

We've also added a variety of email topics to the Excel sheet. For example, John Doe could receive an "International" email, but Jane Doe might receive a "Full Turnkey" email. Is there a way I can tell my flow to send the International email to John Doe and the Full Turnkey email to Jane Doe? I've included screencap of my Excel sheet if that helps, identifying info erased. Thanks!

One of the most effective ways to do that with an excel table and different email templates is to use the switch action.  In my example, the column "type" contains values like "International", "Full Turnkey", "Other", etc.  So with switch, I check that value and then based on that value, for each row, I have different cases.  So case one is International and inside that case I have the International email template (which is essentially just the send email V2 action).  Next I have the Full Turnkey cases, with related actions and a copy of send email V2 action but specifically written for the Full Turnkey cases, and lastly a default cases for everything else, if needed.

So right now this is what my flow looks like, instead of "type" from your example, I'm using the date that the flow is activated (so 4/26), but it should have the same effect, right? The flow will recognize "International" or "Full Turnkey" from the spreadsheet and send the appropriate email. Do I have that about right?

Yes, this looks good.  As you know, use a copy of your spreadsheet and send some emails to yourself first and make sure you get the desired results, then point to the real spreadsheet.

Always glad to help!  There may be a better format for the table, if this was my project, but it will work as designed and be very dependable.

 

That said, I would maybe consider unpivoting the table itself and have a column for "date2" and "email type", then your automation is looking for date2 that equal 2024-04-24 then for each matching row, switch, etc., etc, BUT, I would go the current format since it is already up and running.  Consider the unpivoted table option if you ever need to rebuild it from scratch.
