Flow failing on first attempt, but works when rerun?

Hi

 

I have a flow that is triggered when a file is added to a specific sharepoint library or created within that library, collects information about the file from a series of substrings in the filename, then uses that information to find the related item in an external sharepoint list, grabs properties from the list and applies it to the file that triggered the flow.

 

The flow generally works fine, but sometimes (it seems mainly when multiple files are created simultaneously) the flow fails at the "update file properties" point, with a 404 error (Could not find list item). Even then though, it seems to create some properties, but not all of them.

Resubmitting the flow doesn't make it work, but downloading the files then reuploading them does. As a result this is our workaround at the moment, but wondering what change I would need to make to get it to work the first time?

If you're going to apply a Delay to see if it works, then put it just before the action that's erroring.

What is in your Apply to each value? Does it contain the file you're looking for?

How fast are files being uploaded? Is the Flow running at the same time a lot of other Flows in your environment are running? 

What changes are being made to the file on the first run that lets the Flow see it properly on subsequent runs?

Of note, all properties were applied except for "Campus"

I see references to file properties (suggesting this is a SharePoint Library) but the error mentions a list item (meaning it is looking in a SharePoint List). Some actions don't differentiate between the two but others do. 

Are you sure that you're keeping it consistent --all Library or all List references?

And What is the list item that it is looking for? Is it actually there in the List or Library you're working in? If it is, and it says it can't find it, you need to identify why it can't find it.

-Looking in a Library when should be a List (or vide versa)

- Specified an ID when should be an Identifier (or vice versa)

The error is coming from the action "update file properties", I can't imagine that is meant to be used in a list but willing to be corrected. The specified ID is dynamic, being the ID for the file that triggers the flow, I can't imagine that is wrong. Another reason for that is that some properties ARE being applied, so clearly it has found the right file.

My guess is that a system somewhere isn't coping with the speed at which files are being uploaded, I wondered if a delay might help but not sure where to apply it.

Thanks Anne, looks like a 1 second delay before the "Update File Properties" has fixed it.

 

The "Apply to each" value I think refers to the properties being updated - it was automatically added when I added that step. Most files are created from a small app stored in sharepoint which creates 100-200 excel files in a minute or so when run.

I'm glad you were able to find a solution. I've seen issues where SharePoint is slower than Power Automate and it causes problems, but I've never had any experience with 200 files created in a minute. Good going.

I have a similar issue, when i first run my flow i get an error as seen in the picture but on the following rerun, it comes out fineerror.png

 

 

 

Does anyone have an idea on how i can either stop the error or rerun that step if it fails

I can't vouch for your problem being the same as mine, but if you want to try what worked for me add a delay (not long, I have a second but it could probably be even less) before "Delete Duplicate" (but still in the loop).

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
