Flow to address meeting request modification

I have set up a sharepoint list for meeting requests. I created flows where it created a calendar invite with meeting organizer and attendees, and also sent the meeting organizer the link to the request if they needed to make changes.

I would like to create a flow where if there are changes in the meeting request, like for example, they want to change the meeting times, it would update the original calendar invite with the modified information. I do see a template related to this (Update details in a SharePoint list when an Office 365 event is modified), but it seems like the reverse, where the list (meeting request) is updated when the calendar event is modified.

The Event ID can be saved as a single line of text in the SharePoint list when the event is created.  After the create action the Event ID is available as dynamic content.  You can then use it later to retrieve that specific index.  The only other way to get it would be to use the Get Events (V4) action and then filter that list down in some way to get the specific event you want.  At that point the Event ID will be available as dynamic content.

 

The easiest way is to save the Event ID to the SharePoint list when the event is created.

It is indeed the reverse of the template you describe.  Basically the steps are as follows:

  1. When an Item or File is Modified for the Trigger
  2. Use the Update Event (v4) action to update the Event based on the EventID and the values in the SharePoint list.
  3. Do anything else you want like resend the Event notification to people invited to the original event.

Would there be a way to do what I originally wanted, and not the reverse?

Sorry if I wasn't clear.  That is what my outline of steps was for.  When an item in the SharePoint list is changed it populates the change to the Office 365 event.  Here's a screenshot of a simple flow that does what you asked.

I have meeting organizer and attendees split out (people picker field with multiple entries allowed), so I had to make some adjustments, as well as time conversions. Would I have to include all of that before I get to update event? I am guessing yes, but want to confirm. Here are screenshots for reference.

Just looking at it, would I need to set up a variable for each field in the meeting request? I only included meeting information in the body of the event, but if they change another field, I am not sure how to address that. The meeting times, the date, the number of attendees I get, but I also have meeting type, meeting needs, presentation needs, etc.

The two variables you see in my flow do the time conversions for me and I didn't change any of the participants.  But yes you might need variables for those too. But you only need variables for things where the format needs to change between the SharePoint list and the Event.  For example, the Title is just text so that can be used directly.  But DateTime values will probably need adjusting and formatting before use.  But it looks like you've got the basic idea.

When I try to run the flow, it is failing. The error message is "Id is malformed.

The ID you are referencing when you try to update the event is the ID from the SharePoint list item.  It should be the ID of the event, which needs to be captured in the list when the event is created. Otherwise the flow can't find the event hat needs to be updated.  That is the error you are getting.

Please forgive my ignorance, being a relative newbie to this. How would I capture this in the list, or get a reference to the item that I can use in this flow?

So after some trial and error, more error, I was able to do what I wanted. Thanks for pointing me in the right direction. I also referenced this article, which helped a lot.
