Generating a purchasing order on the fly based on PowerApps form.

Hi All,

We have a requirement as follows for a client.

  • Procurement department will enter the PURCHASE ORDER which has supplier information, supplier address, contact, phone, supplier email, description items etc.

We will be using PowerApps with SharePoint Online.

  • Now, the client is asking to pull a template (Word Document) for Purchasing order FORM (PowerApps) and autogenerate this PowerApps form as PDF when the procurement enters the data. After that PDF document to different suppliers.
  • For e.g.

Consider an HR recruitment form where HR admin creates a FORM (3rd party SharePoint Online Form) with candidate’s information such as candidate’s first name, last name, personal email address emails, candidate’s manager etc. as shown:

    01 HR Form.png

    Manager approves the candidate.
and Offer letter is generated with the information pre-filled detailed with Form that HR admin filled in.

Offer letter is generated in a document library called NewUserDocTemplates
         02 Generated Offer Letter.png

Offer Letter Template  - Test.docx is a template based on HR Form teams have pre-defined.

and Workflow has all the variables

Q: Does PowerApps / Flow has the option to generate offer letter or purchasing order based on PowerApps form and Flow?

There is a flow connector that converts Office documents to PDF. https://flow.microsoft.com/en-us/blog/convert-files-using-muhimbi/

But I am looking for an option were Procurement department team can use a standard template (Word document template) and when a Purchasing Order when a new PO is generated on the fly as PDF document.

Any guidance will be highly appreciated.

Re: Generating a purchasing order on the fly based on PowerApps form.

Hi @sandy_791,

Yes, we could use flow to convert a file to PDF. However, it is not possible to format the file content.

Using a standard template then replace the variables with dynamic contents is not possible currently, if you need this feature, please submit a request on Flow Ideas Forum:

Hello @v-yamao-msft

Thanks for your reply.

Yes, the default PowerApps does not have that template feature, but PowerApps team suggested a plumsail connector that can use in solution

Thank you.

If you are good with HTML you can use the following in Azure to call from Flow.

https://gist.github.com/tmakin/80e1905094245c857c493b7879657095

If you can figure out the pricing with Azure support it can be so much cheaper than these 3rd party services.

I am going to start a blog soon out on smithroad.com, but for now I did create this video on what it can look like on a mobile device. https://www.youtube.com/watch?v=Re3wU0i4esM&t=5s
