Get Shareable link from Document Library to List

Hi All,

I need help deciding which controls and loop would make most sense.

I have a library which has many reports (Green- column shows reports & have links on them; Orange shows the column column Report Name), and

I have a list which has list items for each of those report names (Green- column shows where we need links; Orange shows the column column Report Name)

How do i get the report link from library to the green column above for each of the report names. Report Name columns are common in both library & list

I tried this, but not really going anywhere with it

Following is the approach that you can follow...

  • Get All Report Names using Get Items.
  • Loop through the output of Get Items.
  • Add Another Get Items pointing to 2nd list where URLs are.
  • On this Get Items apply Filter logic as given in below screen shot. I am using Title from first list. You should use Report Name.
  • Then use URL from 2nd Get Items where you need. I added Compose 2 and I am using title. You can change it to URL.

@PrasadAthalye Hi, I have a list and a library- not 2 lists.

I am stuck on what should i use in Filter Query because I do not see any dynamic contents coming from library action that I am using.

Please help

Also, please check the columns from list and library that are there in the original question- might help you suggest me something more directed from it.

Thanks

Okay. If its a library, you will have to use Get files from library( Properties only) action instead of Get Items from List at both the places...

The flow I have now post your suggestion is this:-

GauravG_1-1625099759650.png

Okay. You have Report Name as Multi line text. Do you see report names going over 256 characters? It should not actually as its a Name and not description. You should convert it to text.

But before that, I will recommend you another solution. You should create a Lookup in 2nd List called ReportId that points to ID from List 1.  So Instead of having ReportName as a Common Column, you should have ID column from first list as common column. Then you populate 2nd List with Correct IDs that points to correct Report and Use ID in the filter instead of ReportName. Follow these steps...

  • Go to Library Settings and Create a new Column.
  • Select First Library and Select ID.
  • Name this column as Report ID.
  • Save. Now in the 2nd list you will have Report ID that you can select from first list. Just populate data.
  • Then in Power Automate, filter 2nd List on this column. Report ID eq <Select ID column from first Library>

@PrasadAthalye You are such a savior.

Thank you so much. How did you know that I had multi-line for Report Name?

It worked immediately as soon as I changed it.
I did not try the ID approach as I was not sure if ID's were same or I could make them similar in list and library.

Anyways, got this knocked off because of you and very gratified- thanks Sir again.
The flow looks like this, for anyone looking to follow this thread
