Getting multiple files when creating/moving file

Hello,


This is how it should go:
1. Filling up Form creates Sharepoint List item.
2. Then flow makes word document from the list items using word template to folder called "Waiting4Approval"
3. Then it makes approval (yes/no).

4. From approval state its either moving the word document to (Approved or Not Approved (In screenshosts they are in Finnish))

And this is what i have problem.
Its doing list and word document to waiting4approval folder.
For some reason its making ~8 files to this waiting4approval folder and i get approval message for everyone.
Also the file doesnt even move to correct "Approved" folder and they are always moved to NotApproved folder.

In the condition following your approval action, change you should be referencing Outcome rather than Responses.

Also, I don't believe that you need the Get Items action and loop that follows - you can just reference the Create Item action.

Hi @viiksi ,

 

First, you need to replace the Response configured in Condition with Outcome.

Second, it is recommended to replace the Path in the Move file action / Move File 2 action with the Id output by the Create file action.

Third, it seems better to configure Link to item in Item link.

Fourth, you can configure Filter Query in Get items to filter newly created items.

In the condition following your approval action, change you should be referencing Outcome rather than Responses.

Also, I don't believe that you need the Get Items action and loop that follows - you can just reference the Create Item action.

Hey @viiksi 

 

Can you share more details? Why do you have the get items action over there? That action is bringing you the items from sharepoint list and as many items it is bringing, those many times the apply to each is running. If it for that particular item that you want this flow to run, then a get item should suffice. (but as you are creating the item here itself, you already have all the data so no need of get item as well)

 

Also, in the approval action for the item link you provided current item and this will fail as the current it will contain all the data of that particular item from the sp list in json format. You need to put the link to item over there.

Im quite new on this and with your help my "complicated" form thing works now.
I started it totally from scratch and learned some new things on the way.

 

Maybe someday i can make flow that i dont need to post here 😉
