How do I automate showing who has approved a document?

I am currently using a Flow that when a document is added to folder X it will send an email for approval.  When it is approved the document is copied over to folder Y and deleted from folder X.

The problem I am currently having is when someone edits the document, the edit is not saved when it is automatically moved.  So I guess this is a two part question.  One is how can I get the edit to move over as well?

The second is how to create an approval page.  There are dynamic buttons to show who approved, their comments, and a timestamp.  How can I add that information to the end of a document (usually PDF) from flow?

Thanks.

Hi @jmsteed ,

Could you please share a screenshot of the configuration of your flow?

For your first problem, you could refer to screenshot below to create the flow and the issue that you mentioned wouldn't exist, since once the file is approved, the new file would be created in the folder and the original file would be delete, no anyone could modify the deleted file.

For the second problem to add the content of approver, comments and timestamp in the end of the PDF file is not supported in Microsoft flow currently.

Best Regards,

Alice

Hi!

Let me see if I understand your first issue:

"When it is approved the document is copied over to folder Y and deleted from folder X. The problem I am currently having is when someone edits the document, the edit is not saved when it is automatically moved."

You mean, it can take a variable amount of time from approval email is sent until a response is received, right? So whenever somebody edits the file in the middle of the process changes will be lost.

If so, I guess once you get the response you can get the last content available in the source folder and copy it to the destination folder. Or, store the file 'modified' datetime just before sending approval email, once response is received doublecheck if it matches with file current 'Modified' datetime (no changes done), and if needed launch a second approval cycle (changes happened in the middle of the process).

Hope this helps
