How to have an approval request only visible for authorized employees?

How should you setup approval workflows using MS Flow in SharePoint if you only want the approval request visible for the submitter, and depending on some data entered in the approval request certain groups of emplyees?

So for example when the request is about Category A, only employees of Group A may see the request, and when the request is about Category B, only employees of Category B may see the request.

Re: How to have an approval request only visible for authorized employees?

Hi @PatAlk,

You could:

1.create a sharepoint list with Category A column ,employees of Group A column,Category B column ,employees of Group B column.

2.and then create a flow with trigger "when an item is created" add a condition to check if the request is about Category A column,

3.if the the request is about Category A column, add an "start an approval" action to send the approval to employees of Group A column inside the if yes branch,

4.if the the request isn't about Category A column, add an "start an approval" action to send the approval to employees of Group b column inside the If no branch.

Best regrads,

Re: How to have an approval request only visible for authorized employees?

Hi Alice,

Thanks, but that still would allow people from Group B to see the requests about Category A in the SharePoint list, while that is something I would like to prevent. Hopefully you have an additional suggestion?

Thanks and regards,

Patrick

Hi @PatAlk,

You couldn't prevent or permit user about if they could access the sharepoint list item in microsoft flow currently.

If you want to prevent or permit user about if they could access the sharepoint list item in microsoft flow,

I afraid that there is no way to achieve your needs in Microsoft Flow currently.

If you would like this feature to be added in Microsoft Flow, please submit an idea to Flow Ideas Forum:

Best regards,

Alice
