How to track geofence events automatically without user interaction?

Hello,

We have a couple of resources that go on site for the customer to do some installation.

In our custom powerapps application, we are defining for each resource his default distance radius and location for the customer.

We would like to check if we can achieve the below by using Power Automate:

  • When the resource is close to the customer area by 1KM, we would trigger a power automate workflow to add in a geofence event table that the resource is Inside the customer area.
  • When the resource exits the area of the customer it should add another geofence record that the resource is Outside the customer area.

The main goal is to do location tracking & auditing for resources without their interaction.

We already know that the Dynamics 365 Field Service covers what we need, however, this is our custom Power Apps application that we have in house and we would like to add this feature.

Could you please let me know about the possibilities to achieve such a requirement?

To me it seems that the crucial part in your flow/solution is where/how you will get the data of the geofence in.

I assume that you will have the customers location (to allow for calculation of the distance) somewhere.

The rest of the functionality like calculation of distance, scheduling, alert email, notification, etc, is easily done in PowerAutomate.

 

I am not that familiar with PowerApps. Does PowerApps have something which allows access to location-functionality on your servicestaff onsite? If this is the case you could possibly pass the data via the PowerApps and access this via PowerAutomate.

Thank you for your reply. Please find below my comments:

1. Where? We have master data for our customers in Dataverse that has the customer service location (Long/Lat/ Address Name,etc..)

2. How? When the resources are moving from office to destination, we need to have a workflow that tracks their location while they are moving and add the logs to our geofence custom table to check if they are Inside/Outside the area of the customer.

3. Power Apps has the functionality to get the user's location on device but the user needs to interact with it to be able to fetch his location. Our requirement is without user's interaction we need to track his location meaning we need a workflow that triggers in the background to check if the user is inside/outside the area of the customer.

Take the example of any food delivery application. You can have visibility as a customer to track the driver location that your order is on the way, how long it will take to arrive, and once it is delivered.

 

It seems it is not possible to achieve it directly using Power Automate and we should go with the below approach:

I think the initial problem is tracking the user's current automatically without user interaction. Without solving that problem, you wouldn't have the data, and Azure Maps or any other solution would work.

This means that the resource should be always using the application by changing a certain status like he is Traveling to the customer location, On Break, or Completed, and based on his interaction we should trigger such a workflow to track his location.

But the main question is when he arrives at the circular geofence of the customer can we automatically trigger a flow that he's inside the customer area or he should be doing some interaction to track it?

Also, there might be some scenarios in which the resource closes the application or loses connectivity which will not allow tracking of the data.

Another one is that we shouldn't allow the resource to close the case if he is outside the customer area.


I believe we should discover the potential of Azure Maps integrated with Power Automate to see how it works but I couldn't find someone who did that before.

I guess the resource should be doing some interaction to track it unless you have a custom mobile app which has location permission for all the time (and not only while the app is used). We can automate the app as much as we can to make the resource's life easier (e.g. auto show to work order details based on the location as soon as the app is opened instead of scrolling through the list of pending ones, show the next applicable statuses (based on the current status) as big buttons instead of selecting from the drop down, etc.) but I do not think we can fully automate with the geofence events without user's interaction.

 

 

Another one is that we shouldn't allow the resource to close the case if he is outside the customer area.

 


I guess this one is achievable. On load of the page to close the case, the app can check the current location of the mobile and disable the option.

Exactly what you're saying. It is all about making the application as simple as possible.

The idea is that the application that we are having is a custom model-driven application and I am wondering if it is doable to ask the user to consent that we are going to use the location all the time when he opens the model-driven app.

Is it possible to show that popup of the location permission that you see it in different apps?

It is not possible with the Power Apps mobile app (at least for the Android version that I have) because the highest location access option is to "Allow only while using this app".

 

Based on this Power Apps idea, it seems to be possible in iOS version. I do not have a device to try it though.
