One notification/Email for several changes

Hi there

I like the flow to get a notification or email, when a file was added in a folder.

My question is: When for example 10 pictures are added in a folder, is there a possiblity that you only get one notification/email? (and not 10 times?)

Thank you.

Re: One notification/Email for several changes

Each time a document is added, a new event fires - I don't see a way around it.

That said, here are two alternatives:

1) Create a recurrence Flow that runs on a schedule (every hour, once a day, etc.) that looks for documents with create date/time after the last time the Flow ran.  If you want an example of this solution, please post here.

2) Create a SharePoint alert on the folder that sends an email anytime a new document is added.  Configure the alert to send a daily summary.

The disadvantage of the SharePoint alert is that it can only be configured to be sent once a day.

Re: One notification/Email for several changes

Hi @Anonymous,

Do you want to send only one notification/email when 10 pictures are added in your SharePoint library?

I suppose that you want to add these pictures into your SharePoint library and send only one notification, is it true?

I agree with @ScottShearer's thought almost, if you want to send only one notification/email when 10 pictures are added in your SharePoint library, I afraid that there is no direct way to achieve your needs in Microsoft Flow currently. The "When a file is created in a folder" trigger would be fired once when a file is created in your SharePoint library, so if you add 10 pictures into your library, the trigger would be fired 10 times.

In addition, you could consider take a try to check if there are some files added in your SharePoint library within a specific period. I assume that you want to check if there are some files added in your SharePoint library within latest 1 hour, I have made a test on my side and please take a try with the following workaround:

  • Add a "Recurrence" trigger, Interval set to 1 and Frequency set to Hour.
  • Add a "Get files (properties only)" action, specify Site Address and List Name.
  • Add a "Filter array" action, From set to output of the "get files (Properties only)" action, click "Edit in advanced mode", type the following formula:
@greaterOrEquals(formatDateTime(addHours(item()?['Created'], 1), 'yyyy-MM-ddTHH:mm:ssZ'), utcNow('yyyy-MM-ddTHH:mm:ssZ'))
  • Add a "Condition", click "Edit in advanced mode", type the following formula:
@empty(body('Filter_array'))
  • Within "If/no" branch of Condition, add a "Send an email" action.

The flow works successfully as below:30.JPG

Re: One notification/Email for several changes

Hi Kris

Thank you for your answer! I installed it as you described but when I try to run the flow the "condition" shows it's Expression result as "true" (at yours it is "false"). I tried alot things but couldn't figure out what the problem is.

I defined a document library and added files there and tested the flow, but it didn't work.

Do you have an idea what the problem is?

Thanks.

Christian
