Optimize working with larger data sets (filtering/ refiltering Sharepoint lists)

Dear,

I have a Sharepoint list containing order numbers, quantities pallets and so on.

To give you an example, I have included the structure below.

In total, this list holds roughly 3,000 line items.

What I am currently doing with my flow is to build some statistics - like 

 

  • How many order were entered today?
  • What is the average delay in production?
  • How many customers are we currently serving?
  • How many orders are currently older than 2/ 4/ 8/ 12 weeks (in orders, pieces and pallets)?

This flow is generally working quite well, as it only takes into consideration the new entries (quite well meaning a run time of roughly 10 minutes).

However, I also want to build a flow for the historical data in that list. To do so, I tried to adapt my flow to filter according to my order date figures. But I seem to have missed something, as it takes ages (like 2 hours for 2 positions). 

What I am currently doing to achieve it is to filter the whole list, count the results via xpath, drop the result and refilter for e.g. the orders being 14 days old and beyond. And then for 4/ 8 and 12 weeks and so on.

My flow currenly looks like this (which isn't yet finished as I want to be sure that  I am not building in thw wrong direction).

My assumption on why it takes so long is because I am steadily refiltering the list, which takes a long time.

Is there any approach where I am "simply" reading the list once and filtering it without the necessity to steadily recall the list?

You may want to rethink your approach.  If you want to report on your data then likely Power BI is a better tool than Power Automate.

 

If you insist on using Power Automate then read about ODATA queries - those allow you to prefilter the queries.

Thank you for your suggestion.

PowerBI is not an option, as this data is shared with multiple recipients who do not all have a PowerBI Pro license.

 

Thank you as well for suggesting ODATA. This i what I am actually doing in the multiple stages of getting the relevant items out of the Sharepoint list. But since this takes a long time, as the flow is currently built sequentially, I am looking for different approaches.
