Removing copy of a document when status column changes

Hi,

 

Could someone help me with a flow please...I want to be able to remove a document from a library when the status of it changes in another library, so;

 

1) Document is kept in Library1 (for editing, sending for approvals)

2) A copy of the document is then published to Library2 for all staff to use once approved (via flow)

 

Library1 has a status column and I want to be able to remove the copy in Library2 when the status in Library1 changes to Obsolete.

 

I have tried the steps in the picture so far but whatever I choose after the condition doesn't seem to work - any ideas welcome!

Hi @RRMX1 

 

Actually, the dynamic content ‘Has column Changed: Status’ returns a boolean value which is either ‘true’ or ‘false’.

So your condition should be changed as below:

The dynamic content ‘Status’ is chosen from ‘When an item or a file is modified’.

Thank you! I have changed the condition now and added under If Yes 'Delete the file' (and linked it to Library2) but I get the below message? The Condition above reads as FALSE however even though it says true for Status changed in 'Get Changes'

ActionBranchingConditionNotSatisfied. The execution of template action 'Delete_file' skipped: the branching condition for this action is not satisfied.

But in my test, the expression result in 'Condition' is true.

It seems like your flow have missed something.

Could you add a step between 'Get changes for an item or for a file' and 'Condition' as below:

The dynamic content in 'Compose' is 'Has Column Changed: Status'. 

In the outputs of the flow, it should be shown as 'true' as below:

If your 'Compose' outputs shows as 'true', could you please take a detailed screenshot of your flow and the running result of it?

Thanks, the Condition is still showing as FALSE for some reason.  Everything else above it is saying TRUE.

Hi @RRMX1 

 

Your screenshot indicates that the column value of 'Status' is not equal to 'obsolete'.

Could you check whether your column value is equal to 'obsolete'? Or if the first letter of 'obsolete' is capitalized, then you should enter 'Obsolete' in the condition. Otherwise, it will show as FALSE.

 

Could you check the dynamic content you put in condition is 'Has column changed: Status'?

Thanks, I have double checked the spelling and capitals etc. and all is ok. I changed it to Status Value and that got past that step and showed as true. 

 

However, I have had a look and think it might be to do with ID's...because we are creating a copy of the document from Library1 into Library2, it creates a new ID for the document so when I'm asking the system to delete the file based on the ID in Library1, it can't find it because in Library2 the ID is different...unless there's a way to find it?

Do you mean your step ‘delete file’ gets an error because you want to delete the file in library1 but fill in the ID of a file that’s in library2?

Since the file in library2 is copied from that in library1, can I assume that the file name is the same?

If yes, you can try to use condition to check whether the two files have the same name.

 

And from your screenshot, I couldn’t identify which dynamic content is for library1 and which is for library2.

Could you please take a more detailed screenshot about your flow and could you describe the scenario you want the flow applies to?

Hi,

 

The copy of the file in Library2 has the same name but it's given a new ID when it is copied in the first place.

 

Attached my flow - all steps relate to changing the status of the document in Library1 and only the last step is in Library 2 but Delete File only option to choose is ID and if their ID's are differentCapture.PNG
