Right way to send email - using dynamic for persons name breaks my flow?

I have a flow that extracts all list items and for each owner creates a HTML table of all their open items.

I then pass to this to the send email action which sends all mails to me, each mail has a different table as i require.

The issue comes when I try and use dynamic data for owner email.  If i use that then:

  • i get all the mails with the right persons name after 'Hi ' in the body of the email
  • the tables are all identical

I think this is related to power automate deciding it needs to put the send mail into a new for loop - i have no idea why it does this:

I am unclear what the right approach is here?  any suggestions?

Hi @AlexBal 

 

In that case, you can retrieve the person details from the filter array action outputs. Maybe you can add a parse json action after the filter array and then use the first() function to grab the person details from the first item in the array (as it is per person wise, all items in the array in the outputs of filter array will belong to the same person).

Funny you should say that, i just came back here to say what i show below worked and found your new answer. 

Is that what you meant?

 

I am still super confused why I needed to do this as the data is in the Filtered Array, i am unclear why when i accessed it the original way and it made a subordinate loop it mucked up the table, but this way it didn't.

 

The right hand path pulls out the Display Name, de dupes it in the case where I have multiple line items as the same name can be in mulitple times (but no other names).

 

Parses the JSON and then i use the attrribute from the schema in the send email.

 

It still did that thing to me where it put the email into its own loop automagically - but this time the looped worked without generating hundreds of spurious items or not updating all the content correctly,  

 

Tomorrows job - format the email, put each recipients email into the to line  and i think I am good to go!

Is there a way to test without sending the email.

Hi @AlexBal 

 

The extra loop is being added because the output is being referenced from the get items action which returns an array. If you want to send a single email to all users, you can initialize a variable at the top and then use append to string variable in the already existing loop and get all the email ids over there and finally pass that variable in the To field of the email action.

Thanks @yashag2255 for you pointers, really appreciated.

 

I am not trying to send one mail to all users, i am trying to send each user a personalized mail with their name and the list items they have open in the body.

 

In the loop below, the first Filter has enabled me to:

 

1. iterate through the list on a per owner basis

2. generate a per user table of list items they own

3. send that as an email to myself, while populating owner email correctly AND outputs correctly (the table)

 

The purple Owner Email = items('Apply to each')?['Owner Email']

The green Owner Email = item()?[Odata__x0068_yd3']?['Email']

 

What I am struggling with (this is my second power automate ever and first use of Odata strings) is doing the same for the Display Name item()?[Odata__x0068_yd3']?['DisplayName']

 

I assume i need to do whatever made Owner Email work with Display Name?

I added a second filter but that didn't help in the slightest.

Bear in mind this is the first time i have ever used odata / power automate etc

to expand further on my confusion - so in my main loop I have 16 people, 18 items  (so 16 emails get sent, two people each get two items in the table in their email).

 

even though what i posted works, i am utterly stumped why the flow designer thought i needed a second loop for the actual mail as it only EVER has one item in it.  So as i step though the 16 items for the main loop when i look at the run results, the second loop only ever has 1 of 1 loop.

 

I think i am missing something fundamental here in how the logic in power automate works but i am blowed if i can tell what / why.  any pointers on things i should read?

We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
