Send an email when a deviate value in a PowerBI report triggers a flow and display in the body of the email, the KPI value which triggers the flow and others "strings" values from the report.

Hi There,

Find below my current problem. I'm working on a PowerBI report which displayed some figures related to sales and customers. From this report I created some KPI/Cards to create alerts when the number of customer goes down or the number of sales by customer goes down every week.

Then, I created a Flow to connect the alert already created in PowerBI and Flow (trigger: Alert, Action: Email) in order to send an email to the responsible for this list of customers in order to make some strategic actions. As you know, the trigger must be a number value... so, I`m using as a trigger for example: "when the number of sales by customer is lower than 5, the flow must be activated", and an email should be sent to the sales representative displaying the "deviate value" and the "name of the customers" that make the deviate value.

So, I was able to make the first part I mean to create the flow and display deviate KPI value, but I cannot/I don't know how to include the name of the customers responsible for the deviate value. Could you help me with that? Is there any solution by using Microsoft Flow?

Thank you and looking forward to hearing from you soon 🙂

Hi @Anonymous ,

Do you want to get the values from the report and send with email?

We couldn't get the data from Power Bi and send the data in microsoft flow currently.

I suggest that you could save the data in sharepoint and you could send the email with the data.

Best regards,

Alice

Hi @v-alzhan-msft

Thanks for your quick replay. Yes, exactly.

So, basically what I need to do is to trigger an alert form a Powerbi when some values are below the KPI. Then for this trigger I will send an email via FLOW to report does values and more information displayed in the report in powerbi which is not a numeric data. Find below and example: I consider my KPI "orders by week by customer", my target is 10. So when the value by customer by week in my report is below 10, an alert will be triggered and and email will be sent to a specific employee. This email should include the value of the KPI used as trigger and the name of the customers (the name of the customers is displayed in my report in powerbi)

I've already create the alert, the flow for the email activity displayed the deviate value but y problem is how to include the name of the customers. I've created a sharepoint list to see the possibility to include the customer's name from a sharepoint list in the body of the email and it's working properly, my concern is how to populate automatically the name of the customer from the powerbi report to the sharepoint list or maybe an excel online, ... Do you know how to do that?  do you have any idea?
