Send notification when task changed "assigned to".

Hi all

I have succesfully created a sharepoint task list where the tasks are automatically created from files in library (success!). When the task are created I receive a notification and "assign to" someone in my team. What I need the flow to do is to:

Send an email to my teammate whenever a new task is "assigned to" him/her or when an old task changes assignemnt to him/her.

Conditions:

- The flow must be triggered whenever "assigned to" information is updated for any item.

- The flow isn't triggered if any other fields in the task list are changed.

- The flow isn't triggered if the task that changes "assigned to" is marked with the "status" as 'completed'.

Here is what I have tried so far. I atually got the notification part to work, but for some reason, the employee received several notifications over and over again.

The task list:

The Flow: "When an item is created or modified":Flow.PNG

Thank you in advance.

Re: Send notification when task changed "assigned to".

Hi @msp71

You are using when an item is created or modified. So when ever anyone creates or modifies a record it will trigger the flow. This might be the reason it is sending lots of notifications.

By looking the requirement you need a conditional trigger. You can trigger conditional triggers but there are some tweaks you need to do. Have a look at this video

Re: Send notification when task changed "assigned to".

Hi @abm

Thank you for your response.

I have been looking at conditional triggering, but unfortunately, I don't have enough experience with expressions to be able to write:

Trigger when: "Column X in the list has been modified" and "Column Z is not 'completed'".

I would greatly appreciate your help in this regard 🙂

Hi @msp71

Under the  SharePoint flow action settings try the below expressions.

trigger.png

@not(empty(triggerBody()?['{column X}']))

@not(equals(triggerBody()?['{column Z}'], 'completed'))

Check the video as well. It explains how to acheive the conditional trigger.
