Send reminder using a HTML table and select

Hi all

 

I need to send a reminder to different project owners in order for them to update their sharepoint list's status projects.

 

Instead of an email per project I want a single email to be sent containing a table with all the projects they have to update.

 

The sharepoint list is the following:

And the flow is:

Is the filter query under get items correct? I want to call the column 'Project Owner' of sharepointlist

 

The other question is the sen email body message, will it send the table with the select fields or not?

Hi @diegoandre10 ,

 

Just realized I hadn't answered your 2nd question on the email action. Your Select and Create HTML table actions need not be inside a loop. You should be able to select the columns you desire by refereing to the value (output result of) Get Items action in the 'From' property of the Select Action.

 

Also, the Send Email action is soon to be deprecated (Reference link) so you'd want to use the Send an Email (V2) action and add the output of the 'Create HTML Table' action in the email body as seen below.

Hi @diegoandre10 ,

 

If 'ProjectOwner' is a person field and you want to filter items specifically with user email ids then your filter query within the Get Items actions should call out the 'Email' attribute. 

 

ProjectOwner/EMail eq 'useremail'  (note: 'EMail' is case sensitive)

Project owner is the name of the column on the sharepoint list.

 

If i use ProjectOwner/EMail eq 'useremail'  it should work then?

 

Do you see the send email body message ok)?

Hi @diegoandre10,

 

1. The Get items Filter query is correct. It should be ColumnName eq 'FilterValue',  and the Project Owner's Column Name should be ProjectOwner if you never renamed it.

2. The message body of send email could be an HTML table, but before you send an email with this action, you should select the Is HTML as Yes.Annotation 2019-09-20 150136.png

Hi!

 

Thanks for your help!

 

I changed the flow but I am not getting any email.


I am doing a test on a dummy table, please notice the column Project Owner, has a space between Project and Owner

Do you what could go wrong? Also in the body message of the email should I enter something that pulls the html table?

Could you get any output from the Get items action?

If could, you can confirm the Send email action whether works successful, and confirm the email address is no mistake.

If couldn't, you could check the Get items filter query whether correct.

Hi @diegoandre10 ,

 

The Send an email action need not be within an apply to each action. The 'Create HTML Table' action should have all the data you'd want to email. If the issue with the email not getting sent out persists, please ensure that get items action is returning any results at all. To do that you could view the Flow run history and expand the Get Items action to see the results generated from the get query.

Its wotking now! The only problem is that the email sends the complete table with everyone's projects.

 

The column name is "Project Owner"tech all.PNG

 

 

I am using under get items, filter query: ProjectOwner eq 'useremail'

Should I separate ProjectOwner as Project Owner eq 'useremail'?
