SharePoint List Item to PDF

I have a requirement to create a new PDF file every time when there is an item created in the SharePoint list. This list is used for creating Purchase Order,

using Flow I tried to create HTML table and then save the file as PDF
the problem is that.

1. The output does not look like a Form
2. It gets data from all the items and not the newly created item.
3. Every time the flow runs it updates the PDF file instead of creating a new file.

Expectation is to

Get only the newly created item to be included in the PDF file
To Get a new file created every time
And output look more like a form

Any suggestions will be helpful.

Thanks in advance 🙂

Hi @jean9681blr,

Some suggestions hope to help you.

Get only the newly created item to be included in the PDF file:

You need to change Get items action to Get item, and then configure the ID of the Trigger output to configure this action, so that Flow will get the newly created item after each trigger.

output look more like a form

If you want to output like a form, you could first adjust the format in Compose, like:

To Get a new file created every time:

You could configure Dynamic content in the file name field of the Create file action, or Dynamic content combination to form the file name. If the File name is a fixed name, the next Flow execution will overwrite the previous file.

More unsatisfactory is that Flow currently has no action to create a form, although Compose can probably design the format of the form, but the effect is not very good.

Anyway, you could adjust through some of the above suggestions. hope it can help you.

Please take a try.

Best Regards,

Barry

Hello Barry,
Sorry for the late reply and Thank you so much for taking the time to send me the screenshots on how to get SharePoint items to a PDF file.

Following your instruction I was able to get the file created and saved as PDF, however, when I try to open the file I get the following error: File does not begin with '%PDF'
Will try to figure out on how to fix this problem.

Is there any way to add an image or table to this PDF page so that it looks more like a form.

I think the suggested solution is no valid solution. Because creating a file with simply naming it *pdf is not creating a real PDF with PDF format.

Somebody knows a solution to export an email as PDF without external custom connectors?

If only with external custom conectors, which works best and are for free?

Perhaps a solution such as the following one I blogged about would work for you:

Bookings & Campaign Mailer Demo
