Sharepoint + Outlook Approval Chain

Hey MS Community,

 

I have not seen any examples of this flow. In short, the flow would be an approval chain that is sent to a person or department. After approval, the document would be sent to the next department and so on. Any ideas on how to build this? Any help would be greatly appreciated.

 

So far I have:

Sharepoint: When an existing item is modified

Outlook: Send approval email

Can you please explain where the document is stored? SharePoint list item attachment or in a document library?

Hi @abm The file will be a SP list item

Hi @JordanGman,

 

If the attachemnt is stored in list item it won't be exposed from current SharePoint flow item templates. You can only get the metadata column values.

@abm is there a way to make a custum flow and accomplish this? Or does the doc need to be stored in a library? Thank you for replying!

@abm Basically Im asking if its possible to build a state machine in MS Flows.

Hi @JordanGman,

 

If you look the flow exection you can see each context will have an action and once that is success then it is passed on to next stage. So in next stage the previous stage exceution parameter or runtime values are accessible but not all the values it depends. There are limitations in flow and hoping more imporvements will be available.
