Sharepoint - Update Status

I need to set up a flow for when the date column becomes more them 3 months old (90 days), the status changes from Current to To be archived.

I have to use a specific date column rather the created column because sometimes they don't always upload it the day, the photo was taken.

I used

addDays('Date',90) is greater then or equal to utcnow()

But it comes up with an error. not sure what else the formula could be?

Hi @Anonymous,

Try referring to the apply to each loop in your expression.

Can you try this instead:

addDays(items('Apply_to_each')?['Date'], 90)

Happy to help out! 🙂

There is no error this time but it hasn't changed the status, so don't think its quite there, but I am closer.

Not sure whether its something to do of the date format?

In sharepoint it is dd/mm/yyyy but when looking at the inputs of the flow its yyyy/mm/dd

Hi @Anonymous,

Sorry, I missed that archive part in your opening post. My bad.

Lets say we use that Date from your screenshot as an example. Add 90 days to it and the date becomes 2019-09-04. Which is not greater or equal to 2022-01-27.

I think you need to switch to less or equal to in your condition.

Swapped it to Less then but still no change in the status - I'll have to keep trying.

Hi @Anonymous,

Just to double check. Is in your test the item expression result true and is it updating the item only not to the status archive. Or is it going to the if no section and skipping the update file properties action?

Yes, some of them are going to the Yes/True result but not updating the status.

Hi @Anonymous,

Thanks for sharing. That column setup looks ok.

Is the Status column part of the Dunbar view you are using in the Update file properties action?

Have also tried running it with a different selected view or the Use all columns (Do not limit) option.

Thank you for your help with this. I have tried other views, not limiting any coloumns and I still cant get the status to update.

I have decided to try and set up a flow so that it directly moves the Files to a archive file when the date in the date column is more then 3 months old. Hopefully this works better...
