Solution needed to quickly send email to corona patients calling us

Patients are calling us (we are non profit) in our call center that we created two days ago.

 

There are four possible outcomes of the call and each have their own email with attachment that is sent to the patient for follow up. The text in the mail stays the same, only date/time of appointment is added manually by call center employee that schedules the appointment. 

 

Currently a call center employee opens the shared mailbox in owa, creates new email, copy-pastes the body text and subject from either notepad or a word doc in Teams, manually ads attachment from desktop and then sends the mail. This is a lot of work and they are not always tech savvy enough to do this.  

 

We are working in office 365 online, nothing is installed locally. Employees currently have access to teams using their own office account and the shared mailbox for which they have the permissions. I would like to have something along the line of a couple of buttons, one for each email template, when clicking the button for the mail you want to send you are asked to enter mail address and date/time of the appointment, then you send the email. 

 

Is this something that could be done without having a lot of knowledge of flows? How would I share the flow so each employee has access to it on their laptop?

You could create multiple button flows to send the different template of emails.

The screenshot of the flow should as below:

The you could add owner to the flow to share the flow with other user:

And the flow would be moved to the team flows tab:

3.png

Hi @ausername,

 

I believe you do not need to use flows at all.

 

If you can run Outlook for Windows instead of OWA , then just create  a set of templates and use them.

Have a look at Outlook 2013: Email Template with Attachment.
