Update Item Not working

I have a SharePoint List that tracks the progress of creating a new material in our ERP system.  I have a column- "Status" that is a choice column, and is not part of the Form for new entries. 

The logic goes like this- Engineering creates a New item in the SharePoint list, and fills in the first few fields.  The last field they fill in is a choice column with (2) options.  This is the trigger that determines who the next department to work on this process is (US20 Operations OR US21 Operations) by setting the Status column to show this.  Then the next department (US20 Operations OR US21 Operations) completes their boxes (all are Yes/No columns, with default set to No), in which the flow should update the Status to show the next downstream process name (Purchasing, Accounting, Quality, Sales, Complete).  The last column of their respective columns is the trigger for the next department, and so on until the last department checks their box, then the Status will display "Complete". 

I have a Flow setup that sets this column's value when a New Item is Created (US20 Operations OR US21 Operations)- and it works as intended. 
Then I have a second flow setup where when an Item is Modified, it is supossed to update the Status column based on If the trigger columns (all Yes/No columns whose default is No) changes.  I have it set up to check the trigger columns working backwards, from end to the beginning and then terminating if it finds a "true" condition- because as the SharePoint is updated by the various departments, their respective check boxes will be "true" and I would not want the Status to be stuck on the first step of the process.

Problem Statement: The flow tests successfully and no errors are found, but it is not Updating the SharePoint List as intended.

As you scroll down through the dynamic content there are headers that reference the action that the dynamic content comes from. You are correct that the trigger should probably be at or near the bottom.  You need to make sure that you are picking that value from the set of values under the trigger in the dynamic content list.  the following is from a flow that uses the When a file is created trigger. You can see the header in the dialog and the fields listed below it.

Hi @MShelnutt ,

 

The ID column in your update item action is a required field.  It looks empty in your screenshot.

Hi @trice602 not sure why the screenshot was like that, I went through and checked all the Condition Actions and their respective Update Item Actions and the ID is in all of the fields- which would explain why the flow runs successfully according to Power Automate.   And when I run the Flow Checker, there are no errors.
Any other ideas?

Hi @MShelnutt ,

 

Can you verify your last run history please?  Please verify the Yes side of your condition is processing; I suspect the condition action and the update item is not getting processed at all.

Hi @MShelnutt ,

 

Thanks for sharing.  Now click on the date of the last run and scroll down to the conditional action and share the results please.  You need to check and see if the condition is true or false.

 

What this screen shows you is the run was successful but it doesn't show you the path of the conditional action.

I see some older suggestions for this type of flow mentions starting out with a "Get Record" before doing updates, is that necessary anymore?

Hi @MShelnutt ,

 

Ok, confirmed, the update item action is not processing so there's nothing to fix there it is above that action.  Please check the output of this action from the last run and look for the column that has the condition question.  Specifically, check if the value is a Yes/No or a 1/0 - I suspect this is a 1 or 0 value that is getting returned.  Because it doesn't equal Yes, your condition is always false and your update item action never fires.

Why is it saying the Expression Result was "false", when we can clearly see that for "US21 Routing" it had "true" ?-

Hi @MShelnutt ,

 

US Routings is not a Yes/No value set - the values, as it appears in Power Automate, are true/false.  The root cause of the conditional action also going to the false side is because US Routings is in fact 'false' not 'Yes'.

 

My recommendation is to investigate this item, or a testing item, where the US Routings value is true and then work with testing on that item.  The current item is false and will not update your item because "Yes" is not a value for this item's column.

So then, should I change all of my Conditions to be "If xxxx is equal to "true"...." ?

Hi @MShelnutt ,

 

Correct.  In Power Automate this is true/false. so please change Yes to true (lower case true).  THEN, you still need to test with and item that is in fact true, your current item is false and won't update accordingly.

 

Please consider marking this reply as the solution - it is a common FAQ about yes/no, true/false, 1/0 condition action values.

I changed all my conditions from "Yes" to "true".

I dont understand why the expression is not being satisfied.  

IF "US21 Routings" is equal to "true", then Update Status.
That is exactly what the test record is showing.

In a previous comment you shared the run output and that value was false.  Please revisit your test item and make sure the item is true.
