Hi all,
I am currently making a List that will hold some confidential information. I've set the List advanced settings to the following:
"Read items that were created by the user"
"Create items and edit items that were created by the user"
The idea is that I do not want people seeing items in the List that they have not created. However I've noticed that when users complete the Form ALL the entries are created by my account. Is there anyway to change this during the Flow operation? I may want users to go back into the List and update fields etc at a later time, but I do not want them to see other entries that are not their own.
Is this possible at all?
Thanks,
Andrew
@andrew_armst are users using PowerApps to fill the form that is making the created by user set as your user instead of theirs?
No I was just using Froms. I don't have any experience with PowerApps. Is it difficult to make a form using Powerapps?
Hello @andrew_armst
As the flow is executed under your account, the "created by" column will always store your user. You could:
1) Instead of that, I recommend that you create another column in the SharePoint list and store there the user who filled in the form, alhough it won't be possible to use the configuration you shared("Read items that were created by the user", "Create items and edit items that were created by the user").
2) Use Power Apps instead of Forms, as suggested by @annajhaveri . In that case, the flow will be executed by the user using the Power App.
Hope it helps!

Thanks for the advice. I am starting to think Power Apps might be the route to go down. But I have zero knowledge of it. Trying to look through MS Learn to see if there is anything there, but do you know of any tutorials/guides on building forms in Power Apps?
you can refer to this guide for creating Canvas app that works with SharePoint list https://docs.microsoft.com/en-us/powerapps/maker/canvas-apps/app-from-sharepoint
