Using Smartsheet cell values to create new folders in Sharepoint.

Good afternoon, everyone. 

 

I was hoping this would be a fairly simple task to build a flow through Power Automate, but now I'm more lost than ever. What I'm trying to do is use power automate to create a folder structure within Sharepoint using the trigger "When a sheet is updated". Where I'm struggling with the actions required to get the flow to pull ONLY the cell values in certain columns from the row that was updated in Smartsheet, then using those values to create and name the folder in Sharepoint.

In my test Smartsheet, I have four columns, named Folder, Year, Project, and Value. Within each row, the value of the cell is as follows; "Folder" contains the name of the existing folder in Sharepoint. "Year" is a subfolder of "Folder" and may or may not exist. "Project" is a subfolder of "Year" and also may or may not exist. 

 

Essentially, what I'm trying to do is when a cell in the "Value" column is updated, have the flow run and create the folder path "Folder"/"Year"/"Project", using the values contained in the row of the updated cell. I hope that makes sense. Appreciate any suggestions anyone might have!

Although I always hate to mention this, but the smart sheet might not be so ideal in this request.

 

As you want the flow to be triggered only when the column "Value" is updated, but the fact is the flow will trigger no matter what change is made to the Smartsheet. And flow will then return all the rows inside the sheet. Even if we use the expression to capture the specific column "Value" 's value, flow is not able to compare whether it was updated.

 

And the only possible way is to use the "When a new row is created" trigger, which is also not able to fully achieve your request, but at least, it will be able to load the exact row and create the folder according to the value inside by adding several conditions during the process.

Just reading through your response, I need to create a new SharePoint folder when a new row is added to a Smartsheet sheet. Please see attached snapshot from Smartsheet.

The flow needs to create a folder named the Project ID ... ie "VDM23037" when a new row is added to Smartsheet.

Any suggestions would be very much appreciated.

In our 2nd installment of this new ongoing feature in the Community, we're thrilled to announce that Chris Piasecki is our Super User of the Month for March 2024.
