Using flow for Business Central entry import

I'm trying to create a basic Flow, pulling data from excel and setting it up as a pending journal entry in Business Central (I'm new to the product, but very intrigued by the potential uses!). I’d asked someone on the flow team about it at the Business Applications Summit, and they indicated it should work, at least worth trying.

 

Set up was easy enough, and I'm comfortable with the excel-related steps, but my test is returning an error on the Business Central connector step. I've selected table “General Journal”, which I’m assuming corresponds to the G/L Entry table in Business Central, and assigned some fields. When I test the flow, I get the following error back:

This error makes sense to me, assuming "Gen. Journal Template" is the "Journal Template Name" field in Business Central. This is a required field in Business Central, and going back through the list it's missing from the available fields in the connector. There’s likely a few more required fields missing beyond this one, but I can’t be certain since the error only shows the one.

 

If I haven’t made any errors setting up the flow, curious why the fields are missing from the connector, if it’s an oversight, or if what I’m attempting is intentionally disabled for some reason.

Hi @CanadaMGB,

 

I don’t have Dynamics 365 Business Central to test this issue on my side. When you creating the flow, the table General Journal is automatically displayed? Do you have the same entity in Business Central?

 

The error message says that there is no Gen.Journal Template. Please make sure you do have the entity in Business Central.

 

If possible, please share a screenshot for better understanding.

When creating the flow, yes, one of the the available "table name" is "General Journal". I'm able to assign fields to it from my source without issue (see screen shot below). However, "Gen. Journal Template" is not on the list of assignable fields, so there is no way to pass that information over to Business Central to resolve the error.

The template name is a manditory field in Business Central, it definitely exists on that side. Far as I can tell, there is one other required field in Business Central that also doesn't appear in the list, "Journal Batch Name".

 

Also, I was subsequently able to use this same connector to create records in other Business Central tables without issue (customer list for example), so it looks more likely that the issue is with the missing field(s) in the connector itself, not in my setup.

I've also found the Business Central connector missing critical fields, e.g. can't add line items to Sales Invoices because it's missing the Sales Invoice ID.

 

However, I think your problem may have been caused by missing configurations in Business Central.

 

When creating entities in BC via API, BC uses "Templates" to fill in other fields based on the data provided through the API. Some fields can only be edited in this way, e.g. Gen. Product Posting Group on a Sales Invoice. It chooses which Template to use based on the API Setup configs.

 

So, be sure you have a Template created for the thing you want to make via API and that the Template will be triggered based on settings in the API Setup.

 

If that still fails you, there are also Odata APIs for certain things that have a lot more power. You can find those on the Web Services page, though I've not found any good place that documents the semantics of them.

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
