Weekly Report Summary

Context:

We have two flows setup that generate a weekly nag reminder for people to fill out a status report. The columns in the SharePoint List currently are Week Number, Due Date, Title (default), Name, & Report Text.  One flow goes out every week and creates an entry in the list for each person (the people are pulled from another list).  When Flow creates the item, the due date is auto-set for Friday of that week.  A second Flow then checks the list, referencing the Due Date and Report Text and sends an email to anyone who hasn't filled out their report that week.  Fairly simple.

 

Question:

I want to setup a Flow (recurring) that aggregates all of the list items for the current week and sends them in an email.  A caveat, if possible would be to remove the columns my uppers don't care about, just leaving the Name and Report Text fields for each item.  I'm having a little trouble wrapping my head around how to do this.  Any suggestions?

Here is an example of a Flow that runs successfully that may help you.

Please note the following:

  • I set "Is HTML" to yes in the email action.
  • Also, I am assuming that the report goes out on the due date.  If not, I would need to do an additional date calculation.
  • I am using a button trigger for ease of testing.  You would want to use a recurrence trigger set to run weekly on the due date.

Awesome answer and very well put together.  Thank you.  I've marked your answer as correct because it answers the question and got me most of the way.  If you, however, need some gnarly attonement for some wicked deed in your past, read on, because this is about to get hairy (if it is even possible).

 

TL;DR:  I'm not sure proper formatting is possible.

 

After seeing the email output that comes from this, I think I might be up a creek for an email solution.  The Report Text field has a type of Multiple Lines of Text (configured as HTML or Plain, doesn't matter).  This means my email output winds up looking like this:

I'm alright with the text being plain, if needed, but I at least need to be able to pull in the line breaks from the SP entry.  In a perfect world, I would like to see the HTML markdown display the actual HTML, but I know I'm expecting a lot at that point.  I am versed enough in HTML that I could create the table myself if I could figure out a way to pass "value" from get items into an action which would let me insert the properties into HTML before passing that to the email action.
