When having two attachments, I get two e-mails

Greetings everybody,

 

I'm in the middle of building a flow. Users are filling in a Form via Microsoft Forms, where they also can choose to upload one or more attachment. When uploading one attachment, I will get one e-mail, so everything works fine. When they upload two attachments, I get two emails with one attachment. I want to get one email with both attachments.

 

1. Here it gets the submitted form. It goes through a switch which is equal to a question in Forms

It looks if the chosen option from Forms is equal to the question in this switch.

If the chosen option is equal, then this switch is activated. Condition 2 looks is there is an attachment uploaded. If no, then an e-mail will be sended with the completed forms questions.

Lets look to the "If yes" section:

The if yes section consist of the flow to extract the attachments and put it in the e-mail. What do I need to change to make this way more simplier and when there are more attachments, they get automatically uploaded in one e-mail. (with a for each loop for example) I did some research and saw some examples with SharePoint involved, but since the data is extracted from Microsoft Forms. I want to know what I do need to change tot achieve the goal.

You are almost finishing this flow because you only need to add an array variable in your flow and move the “send an email” action outside the apply to each loop action. Please refer to below steps:

Before your “Condition 2” action, please create an “Initialize variable” action to store all the attachments in following steps:

Inside the apply to each action: you need to move the “send an email” action outside and add an “append to array variable” action instead:

As you can see, no need to change your “Get file content” action and inside the “Append to array variable” action, please write:

  "Name": ,                  //please select the name dynamic content generated by the Parse JSON action, don’t forget the ” , “ character in the end

  "ContentBytes":      // please select the File content dynamic content generated by the “Get file content” action

}

 

 

For the send an email action, please press the circled button in screenshot:

After this, your send an email action would be like this and you need to select the variable dynamic content for the attachment column and save the flow.

Now, your flow would be perfect no matter how many attachments your end users will upload, the flow will only send you one single email and all the attachments would be attached automatically.

The flow works for me, however I receive 1 e-mail with and 1 e-mail without the attachment. Any insights?

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
