alternative to outlook account

Hi, 

It is apparent that our company do not have outlook account, although we use outlook (not sure what it means). 

I would like to send notification by email when job is complete or something.

What could be alternative way to notify people?

To me, every staff use emails more than Teams post (and better traceability), I wanted to do via email.

basically, I do not have account or license of officer 365 outlook. I was told that our emailing system is run via Okta. I might need to ask for officer 365 outlook.
