build flow for employees

Can anyone explain to me how I can build a flow for my employees?

Basically I have a flow that saves email attachments to onedrive under certain conditions. I want to activate this flow for certain employees in my orginisation.

I have tried making it a team flow, but it still only applies to my email and onedrive, and does nothing when other memebrs of the team recieve emails.

How can I activate this flow so that my employees email atrtachments are saved automatically? I do not want my employees sitting around building flows themselves.

So the only realistic solution I can think of is to log in as another employee and set it up that way.

The employees don't need to build the flow, and you are on the right track making it a Team Flow.  But the key is the connection.  Even in a Team Flow the connection to the mailbox is using your account.  After sharing the Flow with others then need to edit the Flow and change the account on the connections to be their account.  Then the Flow will run on their mailbox and OneDrive.  Nothing else needs to be changed, just the connection.

The easiest way to do this would be by exporting the Flow and then having each user import it.  When they import the Flow they will be asked to create connections and then they can use their own credentials to do that.

@Pstork1

Thanks for your reply. Is there any way to achieve this with employees having zero input at all? I have some employees I dont want messing around in flow, I don't even want them to have the option to enable or disable flows. I want all flow creation and manipulation to be handled from one central location, rather than giving all employees the ability to create flows without the admin having control over them.

Since it involves the Employees authenticating the connections there is no way to do it that I'm aware of without involving the employees.  There is a similar issue in PowerApps and there is PowerShell that can autoaccept the OAUTH provisioning dialogs, but I'm not aware of anything similar for Flow.

I have employees on the microsoft F1 license. They do not have the option to create their own flows. Also, how can I import a flow when on a mobile device?

Not sure how you would do this for F1 users. For mobile device users, the Flow doesn't actually ahve to be imported on thier mobile device.  It gets imported into their account using a web page.  Just have them login on any PC to import the app from a web browser.  It should work on appropriate browsers in a mobile device, but the screen real estate isn't a good user experience.

Hi @seanbrogan ,

As described by Pstork1, you could export the current Flow and then share the zip file to the users within organization. They only need to import this Flow and update the relevant connection.

https://flow.microsoft.com/en-us/blog/import-export-bap-packages/

Or you could consider using Send a copy to share the current Flow as a template for users in your organization.

Please check this blog and see if it helps:

@v-bacao-msft  Thank you for your response but it doesn't really help me all that much.

Users on F1 licenses do not have the ability to create or edit flows as far as I can tell. They can only use standard ones not ones created by my organisation.

Also, users are restricted in the number of flows they can run, and the connectors they can use. For this reason I do not want employees creating their own flows. I want all flows for all users to be managed from a central, easily controlled location.

I understand the request and have been asking for the same thing. The problem is that Microsoft uses the Flow engine to do things for users behind the scenes, especially in Dynamics applications.  That requires that all users have Maker access in the default environment , so MS restricts your ability to remove that access for that environments. Other environments can be locked down.

Hi @seanbrogan ,

Maybe you could consider using a Shared mailbox.
