help with planning flow

I am new to MS flows. I am trying to schedule a task where in I want to Block rooms as users sends in a request using either MS forms or excel. Request help here

Hi!

Since you are thinking on Microsoft Forms... did you already designed the Form Survey? If so, can you share a screenshot?

I would suggest to start choosing 'When a new response is submitted' trigger (the only one avaliable in Forms connector currently), then 'Get response details' (the only action currently available in Forms connector).

Now depending on your requirements next steps may differ.

So do you plan to use the "Meeting Rooms" feature from Outlook?If not, which approach do you need?

Thanks for your quick response. As my need is complex I am still contemplating howto design the form.

 

We have 5 rooms and each room can accommodate 2,5,7,9 and 15 people. when any user specifies he needs room with 2 sitting capacity and for certain date i want the flow to book the room with 2 capacity. Similarly if user says 15 people with video conferencing facility, it should able to book room with 15 capacity. The booking windows is only for 7-10 days. so I am also lost can planner gives me room wise list and take the bookings through forms and MS flow

Now, let's talk about your challenge.

 

How do you plan to book the rooms from your flow? Do you plan to use the "Meeting Rooms" feature from Outlook?

If so, there is an action block in Office 365 Outlook called 'Find meeting times v2' that probably fits your needs

If not, which approach do you need? Did you consider creating a Sharepoint List per room -or even a global Sharepoint List- to record reservations? An excel file stored either in your OneDrive4Business or in your Sharepoint? In a different repository? If this is your approach, you will probably need a quite clever Flow logic to doublecheck room reservations are not overlapped
