"Feature approval" or "Vote For Feature" with minimum voters/approvers count to proceed flow concept in Teams

Hello everyone!

Reaserched topic a bit but dont see there are anything "out of the box" for the task in subject. Let me briefly describe functional requirements. And i would appreciate if someone coul help with kind of concept what components could help me in solving this.

 

Lets say we have a „feature“ to be implemented and need it to be approved or not within 2 days. Approval is basically when 50% of the „group“ (its a outlook group, but can be just a list of emails if it makes life easier) say Yes to it. So its kind a mix of approval or Poll. After 2 days it may “close” in case no “consensus” have been reached. This poll should happen “perfectly” in Teams channel, or at least be Triggered from there or at “least least” results could land there if its too complicated to do it in teams.

 

Hope someone can help to choose right methods as I am pretty new to flows but can research when its more or less clear what to research.

  • You'll need to work with theO365 group that the team is based on.  You can list the members of the group using the Office365Groups.ListMembers data source function.  Here's an article on how to use that function. Get users from Office 365 Group in PowerApps - SPGuides
  • Yes, you will need somewhere to store how a user voted to make sure they don't vote twice.  The Ideas app is a good way to examine that idea.

I would do it by creating a Power App in Teams to record the votes by individuals.  Then have a recurrence flow set to run periodically to see if the threshold has been reached.  If it has approve the item, if it hasn't and the time limit is reached then decline the item.  Time limit would be measured from the creation date/time of the item.

Hello Pstork1! Thank you for response!

 

I looked at "Employee Ideas" PowerApp as it seems to have similar concepts inside, voting as example, and it seems that even simple voting made right seems to involve quite a lot of skills to deliver properly 🙂

 

While its not a must to have app maybe you can comment on a concept that could involve be based on Approvals Flow?

 

  • Its possible to trigger Approval process with "multiple" approvers
  • Its also possible to require response from all recipients
  • I dont think approvals have tools to set expiry?

So maybe if it is possible reccurently check how many approvers made their job and check approval creation date if that is possilbe?

Approvals do have an option for Expiration.  You can set the timeout on the Approval in the Settings. What would be lacking for your scenario is to have it approved when 50% respond.  For an Approval set to Everyone must approve it will wait until all the approvers have responded before proceeding. So there is no way to move on if say 6 out of 10 approve and the other 4 don't respond.

And maybe it is possible to "count" aprovals with another Flow? Then whent its expired and have approval rate >50% i can trigger something else?

To do that you would need the Approval ID and it would be hard to get that to the other flow.  It would also require a Premium license since you would have to access Dataverse directly to count the number of Approvals.

Thank you once again!

Maybe you can support me little bit further, i think i will stick with power App in Teams. Trying to think through and try out some of main features i will need and maybe you can advice on some more specific questions:

  • To caclulate Acceptance treshhold i am planning to calculate Members of the Team and looking at Teams Connector dont see how can i get Team Members count easily, as exaple GetTeam dont have such number. Do i need to calulate it by counting members of the group from other source? Unfortunately i cant find source for that.
    • In general i need either members of Team or 0365 group member count to have certain "dynamic" treshold
  • Another concept i need is "Voting", i have checked Microsoft Employee ideas app. They do use Idea Table where VoteCount stored and Also they do use Collections (if i understood correctly to manage how current user voted for current idea and to add or substract votes from Idea table) so probably thats the way to go also?
