Patch SPO list using records in a collection

I have found a few posts similar, but none are an exact match for my issue.  I have a SPO request list, and an accompanying SPO list that lists the items for the request.  What I want to happen, is when a person opens an item in the request list, edits the item (in the customized form), and changes a text field, I want a column in the accompanying item list to relect the change in the request list.  Seems simple enough, but my problem lies in that there may be multiple records in the accompanying item list that point to a single record/item in the request list.  If someone were to change the record/item in the request list, how to I update all the corresponding records in the items list?  The only fields they have in common are the title and ID (the request list record's ID is saved to a 'Request ID' column in the item list).  I have tried the below, but it complains about getting a Table result instead of a Record.

Couple of questions:

1) Can you tell me more about your SharepointFormMode variable?

2) Is FormNew visible only with "new" and RequestFormEdit only with "view" and "edit"?  Are you actually using the Visible property for those forms or are they on other screens?

3) Can you place a label on the screen with the following formula on the Text property : CountRows(Filter('Item List', SharePointIntegration.SelectedListItemID in 'Request ID')) 

4) And another label with this Text property: SharepointFormMode

 

Let's start there and let me know what they show.

 

In general, your ForAll loks find.  It should be patching whatever is in the collection.  That leads me back to the above troubleshooting steps as they all lead up to the collection.

1.  The variable name comes from the instructions I tried out on setting up a customized form in SharePoint (https://www.sharepointsky.com/customize-sharepoint-list-forms-with-powerapps/).  It has a different value for each of the form's visual properties (OnView=ViewForm, OnEdit=EditForm, OnNew=CreateForm).

2. RequestFormNew is the form for the NewScreen, RequestFormEdit is the form for the EditScreen, and RequestFormView is...you get the idea.

3.&4. Did this in the EditScreen, tested it, and they both show the correct value ("3" and "EditForm" respectively).

 

I agree on the ForAll syntax, which is why I'm confused as to why it's not working.

 

BTW, in case I haven't said it yet, I really appreciate your assistance.  I feel like I'm never going to get up to speed on all stuff in the power platform.

No problem on the help...hang in there, it will all start to "click" eventually, and we'll get this problem solved also.

 

So, let's make some changes...It seems that we're getting some of what we need and the stage is set from the tests.

 

Let's change the Formula in the OnSave to this:

If(SharepointFormMode="CreateForm", 
   SubmitForm(FormNew), 
   SubmitForm(RequestFormEdit)
   );
 
If(SharepointFormMode="EditForm", 
   ForAll(RenameColumns(Filter('Item List', SharePointIntegration.SelectedListItemID in 'Request ID'), "ID", "fID"), 
          Patch('Item List', 
                LookUp('Item List', ID = fID), 
                {Title: RequestFormEdit.LastSubmit.Title
                }
                )
          )
   

The only real difference here is that we are pulling out the extra collection stage and simply running the ForAll against what would have been the same results as the collection.  Not sure if you actually need that collection some place else, but let's ignore that for the moment.

Just so I didn't think I was going crazy...I just tested this out with the same concepts that you are using - and all worked fine.

Let's see what happens for you next.

I guess the OnSave property was getting confused between the ID column in the collection vs the ID column in the list?

Quite possible that was an issue. But in this case, we just skipped the collection and went right to the source.

This is progress for you!!  Always good to get over a hurdle.

I was using the collection instead of the source because I was trying to get rid of the delegation warning errors.  Next time I'll just ignore them. 😄

Just a word on that...although you will not get a delegation warning on a collection, this does not solve delegation issues.  If you have a datasource and record count and/or delegation are factors to consider, then your app should be designed to accommodate that properly.  

You might be fine in this case, but if you have a delegation warning, that should be your "designer moment" to determine if this is something you should be concerned with.  Maybe not...maybe so.

I know what you mean, that's why when I make a collection from a [potentially] large list, I always sort it by ascending so the newest items are grabbed first.
