PowerApps Delegation on large SPO lists

Hello,

Is there is a limit on the number of SharePoint Online list items that a PowerApps can return when using a delegation?

Our requirement is currently a simple app that should display certain items from a Sharepoint list. I am using a delegation to only return the required subset of items, which works fine without warnings, however the list is likely to grow large very quickly (20.000+ rows).

Let’s say my delegation should only return 3 list items. When using a delegation, does it then matter at all how large the list grows?

Just trying to gauge how reliably delegations work on large lists...

Re: PowerApps Delegation on large SPO lists

Hi @DanielaHo ,

Do you apply a delegale formula into your SP list data source?

If you applied a delegable formula into your SP List data source, the app would delegate the data process to the SP List itself rather than process data locally.

More details about the Delegation in PowerApps, please check the following article:

https://docs.microsoft.com/en-us/powerapps/maker/canvas-apps/delegation-overview

If you use a delegable formula within your app, but the result could only return proper records as expected, I think this issue may be related to SP List server. I agree with @RezaDorrani 's thought almost, there is an limit on the query performed on SP List Items.

More details about limits on SP List, please check the following article:

https://docs.microsoft.com/en-us/sharepoint/install/software-boundaries-and-limits

Re: PowerApps Delegation on large SPO lists

As long as you are using a delegable function and are return less than the 500 maximum by default the list can get as large as you need it to be without an issue.  There is of course an upper limit in SharePoint, but I think its around 4,000,000 items.

Re: PowerApps Delegation on large SPO lists

Hi @DanielaHo

You would have to make sure to use functions which are delegable with SharePoint as a data source

https://docs.microsoft.com/en-us/connectors/sharepointonline/

Additionally, please note that SharePoint also has a limit of 5000 items for queries performed

Hence you need to make sure that when Filtering data in SharePoint using PowerApps, the specific columns are indexed in the SharePoint List/Library

You can create max of 20 indexes per list/library

Also, Indexes cannot be created/deleted once your list grows above 20k records

Reza Dorrani
