Advice with large collections

Hello all!

 

         I am in the process of building an App with a scoring system for pieces of equipment across different sites.  The equipment is filtered by each site in a dropdown, which works really well until my workarounds get past the 4000 item mark.  If I select a site with say 5800 items, the code that I built for it shows no errors, but the ants at the top of the screen don't stop moving.  I found a way past this by making an IF statement that will take me to a data table on another screen if the site code matches the text box  with that many rows.  It loads the 5800 rows extremely fast, but for some reason when I put everything together in the OnChange, it just doesn't like it.  The last straw it had with me I think is when I tried to implement Ranking ID's in all of this so all of the equipment can be saved for the user to pick the item later, before that, it worked, but was very slow.

 

The original OnChange code for the site selector does a few ClearCollects that:

1. Grabs sublocation names and other info from SQL view

2. Splits here by 

        a.  If site code matches 5800 item site, Navigate to new table screen(it used to be on this OnChange until I injected                                Ranking_ID's.

        b. If not, then continue to 3.

3. 3 ClearCollects that can handle any sites with up to 4000 records by doing Ascending and Descending Collect then subtracting both in the last CC.

4. ClearCollect data from step 3 and 1 so that I have matching sublocation names and ID's

5. ClearCollect data from 4 and add Ranking ID's, so users can review or add to saved data at another time.

 

My main goal here was to have everything work under one gallery or table, but I can't build it all on either one, I tried doing the same for the table as well but still gave me moving ants.  Below is the OnChange Site Selection code that works pretty well without the other code posted after this one.

My apologies for the lengthy explanation, I hope this makes sense and would be very grateful if there was an easier way to approach this without having to use two tables.  I would really like the user to be able to view all of their items in their appropriate site in which none of them exceed 6000.  I can give more information if need be.

I have a blog on Delegation that includes processes for large collections. If you have a unique numeric identifier other than the ID, you can collect all list items with this code.

Thank you for this blog!  Not sure how I missed reading this one.  Exporting the data to SharePoint now and going to add a sequential "Shadow ID" to try to test this out. 

 

I had some more thought now come up now for this, since the sites will be filtered into chunks of rows will this be able to pick up any ID and start counting based on what site is chosen?  For example, say I have a site with 5000 rows that happens to have Shadow ID's between 4000-9000, or have another site with 6000 rows with Shadow ID's between 25000-31000, will that code in the blog be able to accurately grab those specific ID's based on the site choice?  

 

The biggest problem and reason why I hit a wall here is because when reading the table I have 55000 rows in total, but the auto incrementing ID's are in order but have gaps, possibly due to items coming and going, or sites switching around.   Which explains why I had to look up the integer column and create the code that I will re-post as an example,

    The first clear collect shows an almost 7800 row gap but is able to grab the first 2000 of this site, which tells me there's chances in the future of items being moved around, and the ID's could be different depending on what happens, which could make this concept not sustainable.  In the code from blog in the Collect up to 10000 items piece, would it be able to pick up missing/added ID's if the site were to shuffle around items?  If not, would I need to create a new list to be able to accurately reorder the Shadow ID?   Hope this makes sense!

Either way, thanks for the info and the blog link!  Would the With/Sequence commands work with item ID's that are out of order like in my code above?  For example, if I had a site ID that had 5800 rows between 92000 and 104000, would it still be able to pick all 5800 item from the filter.  Or would I be forced to go the route of creating an auto incrementing Shadow column to keep things in order?

 

I would like to try this since I exported the SQL data from an excel sheet to a SP list, but ultimately this auto incrementing column would be within in a table/view.

Hi @JDaws87 ,

You post just arrived now (even though it is dated last week). Theoretically, any numeric unique identifier will do the job using the With() statement method and I have tested it with large lists where a lot of deleted records are involved (hence big gaps in the numbers). If you have large numbers like your examples, it will do a lot of runs (with quite a few empty) as it runs in 2,000 number groups each time up to the largest number (with the number of runs dividing the top number by 2,000). This is why a shadow ID is generally the best path.

Thanks again @WarrenBelz, although I wish the With method was a little faster(takes about 10-15 seconds no matter which site I pick, one with 20 rows up to ones with 5800 rows), I would still consider this a solution since it solves the use case.  Appreciate the link to the blog as well!
