Allow user to select their own fill and text color

Hello!  So I am making this one week calendar thing for the company I work for, which looks something like

For those blue rectangle backgrounds, they want each user to have their own color, so they can easily identify who is in charge of the appointment (Sure I can probably use their name, but that's too easy).  Now I could probably hard code it, and just say If Joe then blue, if John the red, etc. But then I have to change that everytime we fire/hire someone in our 23 branches. No thanks.

 

So is there anyway for me to allow them to change both the fill and text color specifically for the appointments they make? This data is being stored in Sharepoint, which does have a "Created By". So somehow I need to let them choose a color in the App, then color is stored somewhere and linked to their Created By, but I am unsure how to get this.

Just to close this out, I ended up doing my own thing and got it working.


For the dropdown where they choose their color, I set the OnChange as :

 

UpdateIf(Saginaw, 'Created By'.DisplayName = User().FullName, {PreferFillColor: Dropdown1.Selected.Value});
UpdateIf(colEvents, 'Created By'.DisplayName = User().FullName, {PreferFillColor: Dropdown1.Selected.Value});
Set(DefaultBackground,Dropdown1.Selected.Value)

 

This updates all entries in the SP List, and also the collection so they see it right away. This also sets the variable DefaultBackground, and then OnStart on the App:

 

Set(DefaultBackground,LookUp(colEvents,'Created By'.DisplayName = User().FullName,PreferFillColor));

 

And the default for the dropdown is "DefaultBackground", that way when they close the app and reopen it the next day, the dropdown has their actual color selected first.


When they fill out a new entry with NewForm, PreferFillColor is an invisible field, which automatically grabs the color from the dropdown and sends it on to the SP List.

 

Lastly, for the Fill, I used a Switch for the colors :

...whatever other colors...

And that sums it up. The only thing left is to add an auto-refresh for the data for other people/screens to get the update, but I'll be doing that last.

Hi @CharlesBrewer ,

You would need a control list and test the first time if the user is in it, if so pick up the value and if not create a record. You would however need to restrict the colours as you would need to hard-code the text to be stored in the List (you cannot store colours themselves unless you want to go down the RGBA path) and then have a Switch statement turning the stored Text value into the required Colour.

Thanks for the response, but I am new so I only semi understand 🙂 How does one make a control list? Will this switch statement make it so that only specifically their appointments are the color they choose? Like, I am unsure how to write that 😕 Can you perhaps toss an example? I'd appreciate.

The control (just another SharePoint) list is to simply store the favourite colour for each user (hence looking to see if it is there first and creating the entry if not). The idea is to store their colour as Text (as I mentioned you cannot store a Colour), but to get it back, you would have something like this at App OnStart

With(
   {
      wColour: 
      Lookup(
         YourControlList,
         UserField = User().Email
      ).ColourTextField
   },
   Set(
      gblColour,
      Switch(
         wColour,
         "Blue",
         Color.Blue,
         "Green"
         Color.Green
         . . . . .

You would also need something it set it first time without exiting and restrict the colours to a drop-down with the text you are going to write back to query in the switch statement above.

Thanks much of course. Just let me know which code you need. I don't have any sort of control list at the moment, but these are the variables from sharepoint :

In case it's hard to read, columns are : Customer (Apps read this as Title even though I changed it), Phone Number, Email, RO Number, Start Date, End Date, Start Time, Service Needed, Status, Created By.  The Goal is just a little popup in the app that allows them to set their own background color and text for the events they create, and it references "Created By" to achieve that. I am unsure of what other code you may need.
To clarify, I have Start/End Date, and then I have Start Time because I could not get Powerapps filtering to work well with a field with just date AND time. So My goal is to somehow use Start time for only time, and duplicate the date from start date, if that makes sense. Unless there's a better way. I have my filter setup as :

Filter(colEvents, 'Start Date' <= DateTimeValue(FakeDate.Text) And 'End Date' >= DateTimeValue(FakeDate.Text))

 FakeDate is just an invisible field that is : 

Text((DateAdd(varWeek, ThisItem.Value,TimeUnit.Days)),DateTimeFormat.ShortDate)

I tried it with date and time but it wouldn't work, so we'll try 2 fields, unless you have a better idea.

 

Also want to point out I get out of work in 20 min and I am off Tues and Wed, in case you don't hear back from me for a couple days 🙂 Your time is much appreciated, sorry if I'm not providing enough info I am unsure what else you need.

You have probably left work by now, so I will post some ideas. Firstly add a text column to Your SP List - I will call it PreferColour and you can populate it with whatever your colour is now, so it will have to be a named colour. Then App OnStart (as per my previous post)

   {
      wColour:

         SPListName,
         Customer = User().FullName
      ).PreferColour
   },
   Set(
      gblColour,
      Switch(
         wColour,
         "Blue",
         Color.Blue,
         "Green"
         Color.Green
         . . . . . 
      )

and then the rest. You are also going to need a list of these set colours - you can do this in the Items 

["Blue","Green","Red"," . . . ."]

Then the Default of your drop-down is gblColour and OnChange  (make it a drop-down, not a Combo Box).

      SPList,
      Customer = User().FullName
   },
   {PreferColour: Self.Selected.Value}
)

All that is left now is to make gblColour the Fill (or Color) of the desired controls.

I am back and thanks much for the reply, that's easier to follow. I am having some issues though, let me show you. So I created the text column, though I named it "PreferFillColor" (I'll be doing text color also). Here is the picture to make sure :

I haven't bothered with all the colors yet, but here is what I am putting in the Onstart : (I also refreshed data after)

I don't know what wcolor / wcolour is but I changed all the spellings, I assume that's fine. One error though :

We can't use the Created By, perhaps? That would be a problem, or can we somehow convert the 'Created By' to text?

Hi @CharlesBrewer ,

You need to compare the Customer field (or a field with the User's name) with User().FullName. If you are using created by - it needs to be 'Created By'.DisplayName.

As for the spelling, it is a bit like dates in "mm/dd/yyyy" which cause "the rest of us" issues at times -  most of "the rest of us" has a U in Colour (but you can spell the Variable or field any way you want).
