Approval Issue

Hi,

I have  an issue about an approval Request. My requirment is to Export a list from a source (Share point in this case, but could be from different source) into EXCEL or CV file after a request has been approved from a Manager.

I created a custom flow by using "Send approval email and complete the activity" template flow, where when i press the button to send the request, if the request is approved the export icon should be available (from DisplayMode = disable to DisplayMode=edit) and than use the Export() function to export the file as well.

But i don't know how to get the approval response from flow or email (i'm not sure that i say right, but i think that there is a way to get the response value from Flow or office365 outloook or whatever).

Can anyone help me please and suggest me a solution?

Thx

Andi

Hi @AndiRodi,

Could you please share a screenshot about your flow's configuration?

How do you send the approval request? And how do you export a list into a Excel file?

Do you want to pass the approval response from your approval flow into your PowerApps app (Custom form in your SP list)?

Further, could you please share more details about your scenario?

I suppose that you want to get the approval response from your approval flow within your custom form app, is it true?

I have made a test on my side, if you want to pass the approval response from your approval flow into your PowerApps app (Custom form app in your SP list), I afraid that there is no way to achieve your needs in PowerApps currently.

As an alternative solution, you could consider take a try to create a Status column (Single line of text column) to store the approval response (Approve or Reject) in your SP list. Then within your approval flow, you need to add a "Update Item" action to update the Status column to Approved when the approval request is approved by the manager.

After that, within your custom form app of your SP list, add a Timer control, set the Duration property to following:

1000

Set the AutoStart property and Repeat property to following:

true

Set the OnTimerEnd property to following:

Refresh(‘YourSPList’) /* <-- Refresh your SP list data source every 1 second */

Set the DisplayMode property of the "Export" icon button to following:

If(SharePointIntegration.Selected.Status = "Approved", DisplayMode.Edit, DisplayMode.Disabled)

Best regards,

Kris

Hi Kris,

Thak you for your suggestion,

You have Right. It'is one of the point that i need to implement.

I'm gonna explain you my global Scenario:

I have a Customer who asked me to realize an App with PowerApps that can allow he Employees to view a set of assets and to make some operations with that assetts according to the permissions they have.

The permissions are depending by the User Role into the organization and the operating sector in which they belong (sales, finance, legal, etc...). I have to evaluate if the thing is feasible or not.

Depending on this permission, the user can request:

1) to export the list in an Excel or CSV format for other needs

2) view the list of another operating sector.

Each request must pass from an approval flow (it must be automatic at a later time) that must tell the PowerApps application to make:

  1. the Export Data command available (case 1)
  2. and display the list of a specific operating area selected by the form customized (case 2).

I'm now considering your suggestion and Trying to implement it, and check how close I get to my goal.

All your further suggestions are welcome Smiley Happy

Best regards,

Andi
