Can PowerApps do this?

Hi Guys, 

 

I need to build an app that will allow the front end user to read a daily report document but also allow them to scroll back and look at previous reports that have been published. 

 

Depending on the department they are in they would be able to see a different report (if possible) and also confirm that they have read these reports.

 

The back end user would need to publish these document reports to each department and ideally PowerApps will send a push notification that  a new report is ready to view. I'd prefer the back end user not have access to the app its self but instead can trigger a flow that will update the gallery where the reports can be accessed.

I'm sure PowerApps can do this but any idea on where to begin and what I need to support PowerApps would be much appreciated.

Have users put all the reports as PDFs in a document library with metadata that identifies the department or whatever the report is about.  Then have a Gallery that displays the reports filtered on the metadata that identifies the report the user wants to see.  Sort the Gallery by created date in Descending order.  Have dropdowns to set the metadata used for filtering.  Changing the dropdown will show a different report in the gallery.  Then when they click on a report take them to a different page and display the report using the PDF viewer control.

The short answer is yes, it can be done in Power Apps as the front - end interface.

Things which I would advise to you to consider:

- Back-end to store data: The first answer it might be SharePoint library or list (if you are storing more metadata than rich content only)

- Extensions / File format of the reports as @Pstork1 written PDF can displayed in the PDF viewer control

- Nice thing if you are using the SharePoint is Thumbnails property which allow you to create small preview of the report which increase the UX

- Read about gallery - it is key control for your solution
- Read about Filter, Sort functions

- Learn about User function

- Learn about Global variables / local

- Consider how you will identify the User's department - AAD property or SP list keeping the information

- Make a call if you are creating two apps or one = End Users / Admin (might be good idea to build it as desktop)

- Remember that over complicating single app can back fire at you when you will be in the position to work with phase 2 - make it simple

- For the notifications and part of the described action use Power Automate

Will the gallery automatically update each time a new pdf is uploaded and if so, what would be the easiest way to upload these pdf reports and where would they be uploaded?

 

This is a completely new set of skills I need to now understand to get my head around this so apologies in advance!

The gallery will update automatically when a user opens the app or refreshes the gallery.  It won't update without the user asking for an update though.  But you don't need to do anything to update the gallery when a new file is uploaded.  The change will be picked up the next time the gallery is refreshed.

 

There are also controls available in Power Apps for uploading files.  But this is often done using Power Automate with the Power App.

Gallery connects to the data source every time when somebody opens app data source is relaoded = automatically update.

Gallery is the control which can display multiple items - you are configuring only template. The number of displayed rows it totally depends on the number of the items in the data source. Think below link displays how gallery works: https://www.youtube.com/watch?v=kLGglidmPxg

 

If you are using SharePoint as the back-end the quickest way would be to create library with set of metadata like department or status etc and allow Moderators to upload reports there. Then create the Power Apps which connect to the SP library and display its content.

 

In the above way you dont need to invest time into building secondary Admin app.

We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can.
