Combo Box Only Displaying 500 items

Hi,

I am building a powerapp and it uses a ComboBox for one of the fills in the edit form. When I search the combo box, only the first 500 items are searchable. My list for the combo box have about 2800 rows, and will keep growing overtime.

I have tried using ClearCollect but the results are still the same. Only the first 500 items are searchable.

Any idea how to make the whole 2800 items searchable?

Much appreciated!

HI,

Firstif you send me an email I will setup a teams session Jay@research-nest.com.

Second working with galleries and tables is a very delicate things form SharePoint.

Make sure your system is set to the max 2000 under file --> settings --> Advanced

Also I would chunk up the tables to make it easier for the system but may want to get on a call with me so I can help you understand.

I have tried to adjusting the limit to 2000 but i still can't see my entire list of 2800 items.

It seems that collections are also subjected to the delegation limit

Hi @smgoh_2

Is the connector Excel, SharePoint, SQL, CDS or something else.  If it is in SharePoint, you can use the following in the OnVisible property of the screen.

ClearCollect(colA,Sort(SPlist,ID,Ascending);
ClearCollect(colD,Sort(SPlist,ID,Descending)
ClearCollect(colAll,colA,Filter(ColD, Not(ID in colA.ID)));
Clear(colA);Clear(colD)

This will work on up to 4000 items.  The first row collects the first 2000 items, the second row collects the last 2000 items and the third row combines the two into a collection, colAll and removes the duplicates from the overlapping collections.  You set the Items property of the combobox to colAll.  I like to have a label on the screen with a Visible property of CountRows(colAll) >4000 and a Text property of "You have exceeded the 4000 item limit" in red so that I will know when the combobox may not be accurate.

--Collect over 2000 records--

This is a common issue. Unfortunately due to delegation issues specific to SharePoint list the search function is not delegable. You can use the function startswith(). However for most people that is not exact solution there looking for.

You can use a clearcollect() to collect in a local cashed table in PowerApps. This will only bring in the first 2000 record. There is a work around...

Basically you will do a filter 2 only show the first 2000 records and put that into a collection. Then you will collect the next 2000 records and so on. Each of these collections must have a different name. Once you have all the collections you can do a clearcollect() on all of the collections you make one massive table. You then will not have any delegation issues when referencing the local collection/table.

Here's an example:

Step 1.)

Create a new number column I'm in SharePoint and turn on index for it. Then create a Microsoft flow copy the SharePoint items ID for each row this new number column. The reason for the copy of the ID is because believe it or not the ID column only has delegation rights for "=" and we will need to use >= and <.

Step 2.)

Concurrent(

ClearCollect(CollectionA,Filter(NameofTable,ID#<2000)),
ClearCollect(CollectionB,Filter(NameofTable,ID# >=2000 And ID<4000)),
ClearCollect(CollectionC,Filter(NameofTable,ID# >=4000 And ID<6000)),

ClearCollect(CollectionD,Filter(NameofTable,ID# >=6000 And ID<8000)),

ClearCollect(CollectionE,Filter(NameofTable,ID# >=8000 And ID<10000)),

ClearCollect(CollectionF,Filter(NameofTable,ID# >=10000 And ID<12000)),

ClearCollect(CollectionG,Filter(NameofTable,ID# >=12000 And ID<14000)),

ClearCollect(CollectionH,Filter(NameofTable,ID# >=14000 And ID<16000))

)

Step 3.)

Then Collect your Collections together=)

;ClearCollect(NameofCollection,CollectionA,CollectionB,CollectionC,CollectionD,CollectionE,CollectionF,CollectionG,CollectionH)

You should now be able to Filter your NameofCollection with all 15000 records. It just takes a bit of preloading first to get there.

Your step one is very confusing. how do i copy the ids for each number column when i have over 10k records? and what type of flow am i creating. it's not clear at all

I do have some time this afternoon if you'd like to do a call I can walk it through with you. It's kind of hard to explain. Let me know when you're free and I can send over a team's meeting.
