Copying records from related cascading tables in Excel

Hi.

 

I  have 4 tables in excel that I use in my app. I have been able to relate the tables using unique IDs that cascade from the top level down to the bottom level.

 

i.e.

Table 1 - Quotes - Level 1 table. Each record has a unique ID called "QuoteID"

 

Table 2 - Products - Level 2 table - Each record has a unique ID called "ProductID". Each record is related to the Quotes table by including the corresponding QuoteID in the Products table

 

Table 3 - Sections - Level 3 table - Each record has a unique ID called "SectionID". Each record is related to the Products table by including the corresponding ProductID in the Sections table, which in turn is linked to the Quotes table. The QuoteID is also contained in the Section table for reference.

 

Table 4 - Devices - Level 4 table - Each record has a unique ID called "DeviceID". Each record is related to the Sections table by including the corresponding SectionID in the Devices table, which in turn is linked to the Product and Quotes table. The QuoteID and ProductID are also contained in the Device table for reference.

 

So, any given Quote can contain any number of Products, which can contain any number of Sections, which can contain any number of Devices.

 

To my question.

The users of the App create the Quotes and subsequent Products, Sections and Devices which works really well (using galleries and forms). However, at the moment if they ever need to create a similar quote to a previously created one they need to start from scratch. Is there a way I can select a Quote in the app and do a copy and paste. This would create a new QuoteID, whilst also copying over all of the related Products, Sections and Devices to new IDs, and maintaining the references to the new Quote ID.

 

I'm sorry for the long winded explanation but I hope it explains my question properly.

Hi @barrymac20 

One quick question.  Are you currently using an edit form to enter the quotes?  The way I envision your app, is that you have 3 cascading dropdowns (or Comboboxes)  and a form for creating the quote.  If that is the case, then I will help you redesign the form so that you can use it as a template to generate a new quote.

Hi.

 

The four tables are illustrated in the app using galleries on four different screens.

 

When you click on a record in the Quotes gallery you then have the option to see the Products for that quote only on the products page, and so on for sections and devices.

 

For each gallery/table there is a view form and edit form. So quotes are added/edited using the quote form on the quote screen, products are added/edited using the product form on the product screen, and so on.

 

There are multiple drop downs on each form that help to configure quotes/products/sections/devices, etc.

 

I can get some screenshots to illustrate better.

Anyone @ Microsoft have any suggestions.

 

I am able to pull all the relevant records into collections and I know how to patch them to the relevant excel tables. Its the maintaining of reference throughout all tables that I cant quite figure out yet.

Hiya.

 

Thanks for the links and they are a good read. Unfortunately my problem is not solved. I feel i have set up the relationships in the table well using primary amd foreign keys and these work fine when creating new records.

 

My problem lies in trying to create a new record by making a copy of an existing one while also copying all the related data downstream of the top level table.

Tuesday Tip: Subscriptions & Notifications

TUESDAY TIPS are our way of communicating helpful things we've learned or shared that have helped members of the Community. Whether you're just getting started or you're a seasoned pro, Tuesday Tips will help you know where to go, what to look for, and navigate your way through the ever-growing--and ever-changing--world of the Power Platform Community! We cover basics about the Community, provide a few "insider tips" to make your experience even better, and share best practices gleaned from our most active community members and Super Users.   With so many new Community members joining us each week, we'll also review a few of our "best practices" so you know just "how" the Community works, so make sure to watch the News & Announcements each week for the latest and greatest Tuesday Tips!   This Week: All About Subscriptions & Notifications We don't want you to a miss a thing in the Community! The best way to make sure you know what's going on in the News & Announcements, to blogs you follow, or forums and galleries you're interested in is to subscribe! These subscriptions ensure you receive automated messages about the most recent posts and replies. Even better, there are multiple ways you can subscribe to content and boards in the community! (Please note: if you have created an AAD (Azure Active Directory) account you won't be able to receive e-mail notifications.)   Subscribing to a Category  When you're looking at the entire category, select from the Options drop down and choose Subscribe.     You can then choose to Subscribe to all of the boards or select only the boards you want to receive notifications. When you're satisfied with your choices, click Save.   Subscribing to a Topic You can also subscribe to a single topic by clicking Subscribe from the Options drop down menu, while you are viewing the topic or in the General board overview, respectively.     Subscribing to a Label Find the labels at the bottom left of a post.From a particular post with a label, click on the label to filter by that label. This opens a window containing a list of posts with the label you have selected. Click Subscribe.           Note: You can only subscribe to a label at the board level. If you subscribe to a label named 'Copilot' at board #1, it will not automatically subscribe you to an identically named label at board #2. You will have to subscribe twice, once at each board.   Bookmarks Just like you can subscribe to topics and categories, you can also bookmark topics and boards from the same menus! Simply go to the Topic Options drop down menu to bookmark a topic or the Options drop down to bookmark a board. The difference between subscribing and bookmarking is that subscriptions provide you with notifications, whereas bookmarks provide you a static way of easily accessing your favorite boards from the My subscriptions area.   Managing & Viewing Your Subscriptions & Bookmarks To manage your subscriptions, click on your avatar and select My subscriptions from the drop-down menu.     From the Subscriptions & Notifications tab, you can manage your subscriptions, including your e-mail subscription options, your bookmarks, your notification settings, and your email notification format.     You can see a list of all your subscriptions and bookmarks and choose which ones to delete, either individually or in bulk, by checking multiple boxes.     A Note on Following Friends on Mobile Adding someone as a friend or selecting Follow in the mobile view does not allow you to subscribe to their activity feed. You will merely be able to see your friends’ biography, other personal information, or online status, and send messages more quickly by choosing who to send the message to from a list, as opposed to having to search by username.

Sir Jun Miano will be sharing firsthand experience on setting up custom API and best practices. (April 6, 2024)       Power Apps: Creating business applications rapidly (Sydney) At this event, learn how to choose the right app on Power Platform, creating a business application in an hour, and tips for using Copilot AI. While we recommend attending all 6 events in the series, each session is independent of one another, and you can join the topics of your interest. Think of it as a “Hop On, Hop Off” bus!
