Custom SharePoint form - missing person field value

Dear all,

I have recently found a strange issue with my custom SharePoint form. I create a new entry, save it, I can see the value in SharePoint for both the Name and Line manager/Supervisor fields (both of them are Person type fields), but when I open the form, the Line manager/Supervisor field value is missing:

Also, when I filter the list down to one single item, sometimes there are digits instead of actual names in those two fields:

The only way how to overcome both issues is a refresh of the page, but I'd like to see if there is something else to be done.

 

In PowerApps, I've manipulated the DefaultSelectedItems for the Line manager/Supervisor data card, since for new records it's pulling data from another list. But for view/edit it should present what is already part of the list.

Let get started from the very beginning. Could you please share the details of the two lists, columns and their data types? Also were you customizing the form from list1? For example:

 

List1 name (...):

Name - People

Manager - People

 

List2 name (...)

Manager - People

Other columns

List 1:

Name - person type field

I'm editing the List 1 form in Power Apps to have the following funcionality:
Person's name, opening the form, is automatically prefilled in Name field - that works fine now.

Based on the Name field value, I want to automatically fill Line Manager / Supervisor with data from the List 2 - where each Name has it's own Line Manager / Supervisor.  But users has the option to change this field value to something else (some other person). The auto-filling of Line Manager / Supervisor worked for me at the beginning, using:

But I struggled with keeping the displaying the value in the form after it was saved. This is fixed now, using your suggested code:

We are back at the beginning I'm afraid. Now I have the autofill for Line Manager / Supervisor but the value is either blank or different from what is saved in the list:

But when I click at the Edit all button, it's displayed correctly:

How is that possible?

Old records in that list may contain incorrect values that have saved at background. Please delete all previous testing records then use the customize form to create new items to test the app with.

I deleted all old records created yesterday and created two new couple minutes ago.

For those where I keep the default value for Line Manager / Supervisor, it works fine:

But for those where I changed that to somebody else, like myself, it doesn't work until I hit the Edit all button:

Actually you have 2 lists and the form will get the manager on bases of list 2 manager column. So you are not suggested to change the manager in list 2. If you really want to edit in list2, you will also need to synchronously modify the manager in list1 other wise manager will be different in the two lists. So assuming you are using SubmitForm to patch to list 1, please add below in OnSuccess of the form:

The point is you'd better not use people columns in list1 if list 2 is the main list, LookUp column would be much better.

The setup is following:
User comes in and create a new request via form in SP list 1:

  • his name is prefilled automatically in Name field
  • his manager is prefilled automatically based on his name and data from SP list 2 in Line Manager / Supervisor field
  • but user has the option to change this to some other person and save the form

So I'm not manipulating the data in SP list 2, I just have that one as a source for new forms, but in case user decide to change that name in Line Manager / Supervisor field, he should be able to do so and form should be able to respect that.

 

I still don't understand why the value is saved correctly in SP list 1 and displayed incorrectly in the form view mode, but then it's changed in the edit mode.

Do you mean in view mode it will display the manager that is in the list2?

Tuesday Tip: Subscriptions & Notifications

TUESDAY TIPS are our way of communicating helpful things we've learned or shared that have helped members of the Community. Whether you're just getting started or you're a seasoned pro, Tuesday Tips will help you know where to go, what to look for, and navigate your way through the ever-growing--and ever-changing--world of the Power Platform Community! We cover basics about the Community, provide a few "insider tips" to make your experience even better, and share best practices gleaned from our most active community members and Super Users.   With so many new Community members joining us each week, we'll also review a few of our "best practices" so you know just "how" the Community works, so make sure to watch the News & Announcements each week for the latest and greatest Tuesday Tips!   This Week: All About Subscriptions & Notifications We don't want you to a miss a thing in the Community! The best way to make sure you know what's going on in the News & Announcements, to blogs you follow, or forums and galleries you're interested in is to subscribe! These subscriptions ensure you receive automated messages about the most recent posts and replies. Even better, there are multiple ways you can subscribe to content and boards in the community! (Please note: if you have created an AAD (Azure Active Directory) account you won't be able to receive e-mail notifications.)   Subscribing to a Category  When you're looking at the entire category, select from the Options drop down and choose Subscribe.     You can then choose to Subscribe to all of the boards or select only the boards you want to receive notifications. When you're satisfied with your choices, click Save.   Subscribing to a Topic You can also subscribe to a single topic by clicking Subscribe from the Options drop down menu, while you are viewing the topic or in the General board overview, respectively.     Subscribing to a Label Find the labels at the bottom left of a post.From a particular post with a label, click on the label to filter by that label. This opens a window containing a list of posts with the label you have selected. Click Subscribe.           Note: You can only subscribe to a label at the board level. If you subscribe to a label named 'Copilot' at board #1, it will not automatically subscribe you to an identically named label at board #2. You will have to subscribe twice, once at each board.   Bookmarks Just like you can subscribe to topics and categories, you can also bookmark topics and boards from the same menus! Simply go to the Topic Options drop down menu to bookmark a topic or the Options drop down to bookmark a board. The difference between subscribing and bookmarking is that subscriptions provide you with notifications, whereas bookmarks provide you a static way of easily accessing your favorite boards from the My subscriptions area.   Managing & Viewing Your Subscriptions & Bookmarks To manage your subscriptions, click on your avatar and select My subscriptions from the drop-down menu.     From the Subscriptions & Notifications tab, you can manage your subscriptions, including your e-mail subscription options, your bookmarks, your notification settings, and your email notification format.     You can see a list of all your subscriptions and bookmarks and choose which ones to delete, either individually or in bulk, by checking multiple boxes.     A Note on Following Friends on Mobile Adding someone as a friend or selecting Follow in the mobile view does not allow you to subscribe to their activity feed. You will merely be able to see your friends’ biography, other personal information, or online status, and send messages more quickly by choosing who to send the message to from a list, as opposed to having to search by username.
