Deleting the record in the SharePoint list & taking the present entry to the list based on the selection of the items in the power apps gallery

Hi ,

I have a gallery displaying the list of items to select, which is directly coming from SharePoint list , in between I have used collections(with this list as data source) for the gallery.

So here once they select an item in the gallery & they try to submit(button) , the record gets saved in one more SharePoint list. Here I have put a condition "one person can select only one item per day", also I have put 'date picker', so for one day they get chance to select only once.

But here I got one more request from customer , that they want to edit the submitted record , if by mistake they submitted it wrongly or need to modify. So this condition is also required at the same time("one person can select only one item per day"). So , what can be done in this case , keeping both the conditions.

Please do mention the methods of doing it , haven't used any forms here . A button to submit & gallery based on conditions. Help on this is greatly appreciated. As I tried few methods didn't get the proper output

According to your description, this is a broad question.

I think your needs is:

A user could only create one record on a certain day. However, the user could modify all previously submitted records.

If my assumption is correct, We could split the demand.

Firstly, If someone wants to create a record and there is no record in the list today, then allow him to create a record.

If the record of this user already exists in the list today, then he is not allowed to create another record.

If( CountRows( Filter(LIST7,Author.Email=User().Email,Today() in Text( Created)))=0,Patch(your data source,Defaults(),{*******} ))

Secondly, If the user wants to modify the previous records, I think you could add a gallery control to display all the previous records of the user.

Then you could establish a relationship with the gallery control through the edit form and modify the data.

Since this is a broad question, I offer you an idea.

Thanks a lot for the response , yes I've already created a functionality for the same to create the records based on the functionality (one person one desk per day) & so then only they will able to modify the records. Also to modify the records as i haven't used any forms , because i need the data from 2 different share point lists, so I'm using the controls without forms, to customize the controls.

So , kindly mention what can be done in that case , as it's not forms or what could be the better alternative solution for the same.

You could try the following formula on a button control:

If( CountRows( Filter(LIST7,Author.Email=User().Email,DatePicker1.SelectedDate in Text( Created)))=1,Patch(your data source，LookUp(LIST7,Author.Email=User().Email,DatePicker1.SelectedDate in Text( Created)),{*******} ))

Next, I will explain my formula.

Firstly, you need a date picker control. Its name is DatePicker1 in the formula.

Secondly, when a user uses the date picker control to select a certain day, the formula will find out whether there is a record on that day through the user’s email.

If this record exists, the formula uses the patch() function to modify this record.

My solution uses a button control to submit or modify a record instead of a form control.

Since this is a broad problem, I could only give you a broad solution.
